Company DescriptionFruition Consulting is a full-service event management company that plans, markets, and produces meetings, conferences, seminars, and events.Job DescriptionThe Event Manager is responsible for ensuring the successful planning, execution, measurement, and reporting of company and customer-facing events.The ideal candidate will have expertise in managing events of all sizes, both in-person and virtually. Experience sourcing and contracting venues, managing third party vendors, negotiating contracts, managing staff, building out virtual platforms/registration, and effective communication is a must.The ability to manage multiple complex programs simultaneously and quickly adapt to changing priorities is critical. A can-do attitude, the ability to work with and lead cross-functional teams and the desire to drive operational efficiency are critical for success in the position.Event Planning and Coordination:Develop detailed event plans, timelines, and schedules.Liaise with clients to understand their vision, objectives, and requirements.Plan event layouts, seating arrangements, and logistics for various event types, such as conferences, galas, corporate meetings, trade shows, and festivals.Select and secure event venues, ensuring they meet the client's requirements and expectations.Vendor and Supplier Management:Negotiate contracts with suppliers, vendors, caterers, entertainment, and other external service providers.Coordinate vendor services, ensuring timely delivery and setup of event elements like audiovisuals, décor, and catering.Manage relationships with key vendors to ensure smooth event execution.Budgeting and Financial Management:Create, manage, and track event budgets to ensure cost-effectiveness. Ensure all expenses are properly accounted for and within the allocated budget.Provide clients with cost estimates and post-event financial reconciliation.Team Management and Coordination:Supervise event staff, including event coordinators, production crews, catering staff, and volunteers.Assign tasks and responsibilities to the event team to ensure seamless execution.Conduct pre-event briefings and post-event debriefings to optimize performance and outcomes.Client and Stakeholder Communication:Serve as the primary point of contact for clients, providing updates and addressing concerns throughout the planning process.Collaborate with internal departments like marketing, sales, and operations to ensure alignment with the overall event goals.Develop and maintain strong relationships with clients and stakeholders, offering exceptional service and resolving any issues.Onsite Event Management:Oversee event setup, execution, and breakdown, ensuring all details adhere to the event plan.Troubleshoot any unexpected challenges or issues that arise during the event.Ensure adherence to health, safety, and legal regulations at all event locations.Marketing and Promotions (if applicable):Coordinate with the marketing team to promote the event through digital platforms, social media, and other marketing channels.Assist with the development of marketing materials and invitations.Track event registrations and attendance, adjusting strategies as needed to meet goals.Post-Event Evaluation:Conduct post-event evaluations with clients, vendors, and team members to gather feedback.Analyze the event's success based on attendee satisfaction, client feedback, and financial outcomes.Compile final reports on event performance and key takeaways for future improvements.Administrative Tasks:Maintain comprehensive event documentation, including contracts, invoices, floor plans, and schedules.Manage event software or CRM systems to track tasks, timelines, and communications.Innovation and Trend Awareness:Stay up-to-date with the latest trends, technologies, and best practices in the event industry.Implement innovative solutions to enhance attendee experience and streamline event processes.Qualifications:Meeting Planning, Event Planning, and Customer Service skillsContract Negotiation and Budgeting experienceStrong organizational and time-management skillsExcellent communication and interpersonal abilitiesAbility to multitask and work well under pressureProficiency in MS Office and event management softwareAbility to work independentlyWilling to travel CMP preferredAbility to learn platforms quicklyMust be able to perform walking, standing and sitting for prolonged periods of time.Must be able to lift 30 lbs. Legally eligible to work in the United States.
