This role is critical in client communication, project management, and sales facilitation, ensuring every project runs smoothly from start to finish.As Agency Manager, you'll be the key liaison between contractors and leadership (COO and CEO), keeping the team aligned and ensuring exceptional service delivery. You'll work directly with clients, allowing you to showcase your relationship-building skills. ManagementOwn the sales process from start to finish, ensuring a steady stream of booked projects by converting leads into clients through discovery calls and relationship-building.Oversee the entire client journey, from the initial Zoom consultation to project completion, including both hourly work projects and custom website design sprints.Conduct in-depth client discovery calls, gather requirements, and develop comprehensive project scopes that align with client goals.Develop and present tailored proposals and pricing strategies, negotiate to close deals, and maintain a full agency calendar.Proactively address and resolve client concerns, ensuring smooth project execution and client satisfaction throughout the entire lifecycle.Build and nurture long-term client relationships with exceptional communication and service.Availability to attend in-person trips, events, and sales conferences as needed to support client relationships and business development.Project ManagementTrack team availability and assign projects based on bandwidth and expertise to ensure efficient task delegation.Oversee the creation of brands and websites for clients, including design, build, and copy processes, ensuring all team members are aligned.Coordinate with designers, developers, and copywriters to ensure project timelines are met and deliverables are of the highest standard.Monitor project progress and communicate updates to the team regularly to ensure everyone stays informed and on track.Develop and implement project management best practices, tools, SOPs, and protocols to optimize efficiency and consistency in project delivery.Team LeadershipLead, mentor, and motivate a high-performing team of contractors, including designers, copywriters, and project managers, ensuring alignment with project goals.Onboard and train new contractors on client service best practices, agency processes, and project management tools.Foster a positive and collaborative team environment, encouraging open communication and a shared focus on success.OperationsManage client billing, invoicing, and Dubsado workflows, ensuring smooth financial and operational processes.Maintain and update systems, SOPs, and documentation for both custom services and hourly work projects to ensure clarity and consistency across the agency.Communication & CollaborationEffectively communicate project updates, client feedback, and internal progress to leadership and relevant stakeholders.Collaborate closely with the marketing and operations teams to support agency goals and improve overall efficiency.Maintain clear, concise documentation of all client interactions and project deliverables to ensure transparency and alignment across teams.Requirements (expected proficiencies to excel in this role)3+ years in project management, client services, or agency operationsExperience in branding, web design, or digital marketing agenciesStrong understanding of design, brand strategy, and user experience principlesFamiliarity with SEO best practices and high-converting websitesSkilled in hiring, onboarding, training, and leading remote contractor teamsProven ability to manage multiple projects, delegate effectively, and meet deadlinesExperience developing and streamlining Standard Operating Procedures (SOPs)Strong sales, negotiation, and client relationship-building skillsAbility to translate client needs into clear project scopes and deliverablesTech-savvy and eager to learn new platformsBasic Squarespace knowledge for managing website projectsUnderstanding of domains, email setup, and Zapier for automation and integrationsProficiency in Asana, Basecamp, and Dubsado (or similar CRMs)Clear, responsive,
