Lawyers on Demand is currently seeking a contract Legal Secretary for a hybrid assignment in Costa Mesa, California with one of our prestigious law firm clients.This role offers remote work days on Monday and Friday, and in-office days on Tuesday, Wednesday, and Thursday. The office hours are 8 AM - 4:30 PM with a 60-minute unpaid lunch break.This role will pay a maximum of $35/hour depending on experienceThis role will last 2 months and the law firm will cover parking fees.Job Description:Reporting to the Administrative Support Supervisor this position will be responsible for providing a broad range of administrative, secretarial, and document processing support with guidance to the assigned Practice Group in an environment where superior client service is emphasized and practiced.Maintaining an in-office presence is important to delivering our services through an integrated and collaborative work culture. The firm policy requires this role to work in the office three days per week as scheduled by their manager unless the client demands, or another accommodation approved by their practice group, requires them to be elsewhere.PRIMARY FUNCTIONS AND RESPONSIBILITIESRegularly utilizes Task Delegation and Workflow Management software (BigHand) to receive, enter, and update assignments; timely communicates with supervisor(s) through BigHand and/or directly the status of task completion and new developments that may impact the assignment and proactively seeks additional information or guidance when needed.Assists with word processing; edits and proofreads correspondence, memorandums, reports, and other general communications.Answers phones and takes messages, schedules appointments and coordinates meetings; arranges audio and video conferences; reserves conference rooms and arranges set-ups.Maintains attorney calendar and advises attorney of appointments, updates attorney address book and InterAction entries.Assists with time entry.Processes new business intake, related forms, and correspondence.Processes expense reports and invoices; arranges check requests; monitors through completion.Arranges travel and prepare itineraries; maintain attorney travel and desk profiles.Coordinates or assists with printing, scanning, copying of documents, and/or sending of same.Provides legal research, case support, and project assistance.Other administrative duties as assigned.EDUCATION AND EXPERIENCEBachelor's degree and at least two (2) years of administrative support experience, or equivalent combination of education and experience.Previous law firm experience is required.Experience with supporting a Litigation practice, including court rules and filing procedures.Demonstrates proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Portable Document Format (PDF) software.Strong organizational skills, attention to detail, the ability to balance multiple tasks in a fast-paced environment, and the ability to manage confidential information with discretion.Excellent written/verbal communication skills, strong interpersonal skills, and the ability to work autonomously while also functioning effectively in a team environment.Exhibits strategic thinking and initiative in handling assignments and projects.Works productively and effectively with all personnel as part of a client service team.Demonstrates excellent client communication skills.Flexibility to work overtime is required.Lawyers On Demand (LOD) offers flexible talent placement rates that range from $15 to $100 per hour depending upon experience level and specific skills requested by the client, candidate's general skill set, applicability of candidate skill set to client need, client budget, number of hours requested, and other factors.
