Combined with NYAM's trusted programming and historic library, and with the support of 1,800 accomplished Fellows and Members, NYAM's impact as a public health leader continues.Position Summary/Overview:Reporting to the Senior Vice President for Finance & Administration, the Director will direct overall facilities management of a six story 106,000 gross square foot historic building including operations management, capital projects and ensuring compliance with New York City and State laws and regulations. Managing a staff of 8, the position is responsible for the maintenance and oversight of all HVAC and electrical systems, building maintenance, mail service, environmental services, and RFP development and competitive bidding for projects. The Director also oversees the functions of security and reception which are outsourced. The Director will provide support for the diverse areas of NYAM including support of the Education & Conference Center with 23,000 net square feet of space hosting hundreds of events each year, and one of the most foremost medical libraries and historical collections in the United States.Essential Duties and Responsibilities:Budget: Developing and managing annual operating & capital budgets (over $2M annually)Emergency & Safety: Lead emergency preparedness planning, ensuring that a code compliant Fire Safety Plan and program is in placeDesign & Construction: Manage internal construction projects, space planning, renovations and repairs and coordinating the work of outside architects, engineers, and contractorsProcurement: Select and managing outside vendors; analyzing systems and vendors to increase productivity and efficiency while managing within budgetPersonnel: Staff assessment, management, training and development, mentoring, recruitment and retentionEvents & Conference Center: Work closely with the Conference Center Director and catering partner, ensuring excellent customer service and quality and timeliness of meeting Conference Center event set- up and closing requirementsWork with Library leadership to maintain appropriate environmental conditions for NYAM's historical and contemporary collectionsMaintenance: Update and manage preventive maintenance programGreen: Lead "go green" initiatives as they related to building systems, operations and constructionOther duties as assignedQualifications:Prior experience in Facilities Management of an owned facility with a successful track record of proven resultsFire Safety Director Certification is requiredExperience with the NYC DOB, FDNY and other city agencies with knowledge of NYC building codes and regulationsHands-on knowledge of operations, construction, planning and maintenanceExperience using Word, Excel, CAD, work order facilities management software, and building maintenance software (BMS) also preferredExperience in budget planning and management of at least $1M annually, combined with ability to achieve efficiencies, streamline operations, and reduce costs where possibleAbility to prioritize workflow and self-identify appropriate deadlinesManagement, team building and organizational skillsEffective written and oral communication skills; adept with technologyStrong interpersonal skills and ability to interface effectively and work collaboratively with all levels of NYAM and outside vendorsBi-lingual English/Spanish helpfulExperience working with rare and valuable archival materials helpfulEducation and Experience:Bachelor's Degree (BA) or equivalent required. Work experience may substitute for education.At least ten years of progressively responsible related experience needed, including at least five years in supervisory capacity.Certifications as FMP, FMC, Boiler, Sprinkler, & Alarm System maintenance and others preferred.Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
