With a mission to improve patient care, we deliver information and education to healthcare professionals through 400+ global, regional, and local events and reach over 4 million users monthly through digital networks and social channels.Job SummaryWe are seeking an Associate Manager, Housing & Travel to support the successful planning and execution of housing and travel logistics for events. This role will assist in coordinating room blocks, travel arrangements, and vendor relationships while ensuring a positive experience for attendees, exhibitors, and staff.Key Responsibilities:Housing CoordinationAssist in managing hotel room blocks, including tracking reservations and reporting pick-up rates.Work closely with the Senior Manager and hotels to address rooming list updates and resolve issues.Support the implementation of housing strategies that enhance attendee convenience and manage company liability.Travel SupportCoordinate travel arrangements/bookings for staff, speakers, and VIP attendees under the guidance of the Senior Manager.Maintain accurate records of travel bookings and assist in reconciling expenses.Stakeholder CollaborationWork with internal teams, including event planners and marketing, to align housing and travel logistics with event needs.Act as a point of contact for attendee and exhibitor housing and travel inquiries.Vendor & Partner ManagementAssist in sourcing and maintaining relationships with hotels, third-party housing providers, and travel agencies.Support site visits and evaluations of hotel and travel accommodations as needed.Problem Solving & Crisis ManagementRespond to housing and travel-related issues or changes promptly and professionally.Support contingency planning for unexpected disruptions.Data Management & ReportingMaintain housing and travel data and assist in preparing post-event reports to highlight outcomes and areas for improvement.QualificationsBachelor's degree in Hospitality, Event Management, or a related field (or equivalent work experience).1 to 2 years of experience in housing or travel coordination, preferably in events or hospitality.Familiarity with housing platforms and travel booking tools.Strong organizational skills and ability to manage multiple tasks.Excellent communication and interpersonal abilities.Proficiency in Microsoft Office Suite.Preferred Skills:Sabre travel reservation system or equivalent.Certified Meeting Professional (CMP) or similar certification.Experience with large-scale events and conferences.Familiarity with event management software (e.g., Cvent, Eventbrite, Swoogo) and travel platforms.Please follow HMP Global on LinkedIn for news and updates
