Job descriptionTrustpoint.one is assisting a leading NYC-based law firm in their search for a Legal Assistant with a focus in Billing.ResponsibilitiesBilling and Invoicing:Prepare and generate client invoices, ensuring accuracy and timely submission.Track billable hours for attorneys and legal staff, ensuring proper documentation and adherence to billing guidelines.Review and reconcile billing discrepancies, addressing client inquiries regarding invoices.Implement and manage various billing systems and software to streamline billing processes.Legal Document Management:Manage and organize legal documents, case files, and correspondence in a secure and accessible manner.Ensure all legal documents are filed, tracked, and archived according to company policies.Prepare and format legal documents, contracts, and forms in compliance with legal standards and requirements.Timekeeping and Record Maintenance:Oversee timekeeping processes for attorneys and legal staff, ensuring accurate logging of hours worked.Monitor deadlines and assist in the scheduling of legal appointments, hearings, and meetings.Maintain accurate records of billable and non-billable hours, ensuring compliance with internal policies and client agreements.Client Communication and Relations:Serve as a liaison between clients and legal teams, providing updates on case progress, billing inquiries, and other matters.Assist clients with understanding billing statements and payment options.Handle sensitive and confidential client information with the utmost discretion.Accounting and Financial Reporting:Collaborate with the finance or accounting department to track payments, overdue invoices, and outstanding balances.Assist in preparing financial reports and summaries related to legal billing and revenue.Process and manage trust account transactions and ensure compliance with legal and ethical regulations.Compliance and Legal Procedures:Ensure adherence to legal industry standards, rules, and regulations regarding billing practices, confidentiality, and documentation.Assist attorneys and legal teams in understanding billing practices, regulations, and fee structures.Stay updated on changes in billing practices, client requirements, and legal fee structures.Administrative Support:Provide general administrative support to attorneys and legal staff, including scheduling meetings, managing calendars, and organizing case files.Coordinate with external vendors, clients, and service providers to ensure smooth operations.Maintain office supplies and resources necessary for day-to-day legal operations.System Improvement and Training:Identify opportunities for process improvement in billing, invoicing, and legal administration.Train staff on billing practices, timekeeping systems, and document management procedures.Ensure the billing system is up-to-date and integrated with case management and accounting systems.This isn't a 9-5 job.Overtime will be available, expected, and paid!
