The Brokerage Coordinator provides administrative support to the Brokerage Department. Responsibilities include managing and assisting with the coordination, collaboration, and preparation of marketing collateral, proposals, and presentations for the Brokerage Team in partnership with the Marketing Department and its personnel. The role requires the ability to thrive in a cross-functional environment, demonstrating exceptional communication and interpersonal skills. A flexible approach, positive and friendly demeanor, and strong multitasking, prioritization, and time-management abilities are essential to execute tasks efficiently and on schedule.ResponsibilitiesLead content coordination for templated and/or semi-custom business development following the Lincoln brand guidelines, but not limited to:Tenant tour booksProperty survey booksClient ReportingComp sheetsLease abstractsProposal Comparison MatrixEmail request submissions through ASANABuildout listing content managementMaintain listings in Costar and LoopNetCoordinate, update and schedule e-blasts for current listingsCoordinate photography as needed for new or existing listingsRequest submission & printing coordination of Leasing SignageEvent coordination (broker open house, broker outings, etc.) and executionFormat and redline lease proposalsProduce bi-weekly and monthly leasing activity reports for client callsAssist brokers with CRM updates and managementAssist in management and coordination of listing agreements, RFPs, LOIs, confidentiality agreements, commission agreements, etc.Coordinate with internal brokerage and research teams to update presentations and to maintain relevant market dataCollaborate regularly with Director of Research to capture market data and present contentManage and maintain client and co-operating broker distribution database - segmented by geography and asset focus; schedule email marketing campaignsOversee and maintain the leasing portfolio, leasing agreements, and filing system for Boston Brokerage via SharePoint.Assistance with commission invoicing when neededEnsure timely delivery of deliverables and review all material to ensure brand guidelines and standards are followedMaintain an up-to-date calendar of relevant real estate industry events, such as broker open houses, seminars, and industry awards, while actively encouraging broker participation and coordinating group involvementOversee the scheduling of bi-weekly brokerage meetings, prepare and arrange presentation materials for these meetings, and facilitate the commencement of the meetingsExperience2-3 years of job-related experience is necessary. Bachelor's degree is preferredExceptional written and oral communication skillsAbility to follow basic work routines and standards in the application of work.Must have strong time management, organizational, and prioritization skillsMust have the ability to balance multiple priorities and projects at a time for multiple members of the teamMust possess a strong eye for design to ensure marketing materials are polished and aligned with the brand.Must have a strong attention to detail to ensure information accuracy and consistency.Must be self-motivated, with the ability to take initiative and work effectively in a team environment.Proficiency in Microsoft suite (including PowerPoint)Proficiency in Teams, LinkedIn and SharePoint is preferredAbout Lincoln Property CompanyLincoln Property Company ("Lincoln") is one of the largest private real estate firms in the United States.
