About the JobThe Executive Assistant provides high-level administrative support to the CEO and Executive Leadership Team, acting as a trusted partner to streamline operations, manage strategic initiatives, and facilitate executive communications. This role requires a high degree of discretion, organizational agility, and the ability to anticipate the needs of senior executives in a fast-paced environment.This position will require relocation to Greenville, North Carolina in Q4 2026Must be bilingual in English and Spanish. Japanese is a plusResponsibilitiesExecutive SupportManage complex calendars, coordinate meetings, and prioritize scheduling to optimize executive time.Prepare high-level reports, presentations, and correspondence for internal and external stakeholders.Facilitate communication between executives and key stakeholders, ensuring alignment on priorities.Handle sensitive and confidential information with absolute discretion.Meeting & Leadership CoordinationOrganize and support executive meetings, including agenda preparation, materials distribution, and minutes recording, ensuring follow-ups and action tracking.Assist with strategic planning sessions by compiling key data and preparing summaries.Travel & Event ManagementArrange complex domestic and international travel, ensuring seamless itineraries and logistical planning.Coordinate executive participation in conferences, speaking engagements, and leadership events.Oversee expense reporting and budget tracking for executive travel and department expenditures.Coordinate relocation process, supporting executives with house hunting, school search, etc.Special Projects & Process ImprovementLead or assist in cross-functional projects that enhance operational efficiency and executive productivity.Identify and implement process improvements for workflow optimization within the executive office.Support HR with immigration processes, gathering documents for applications and renewals.Office & Vendor Coordination Act as a point of contact for high-level external partners, ensuring professional and strategic interactions.Manage select office operations related to executive needs, such as VIP visitor arrangements.Qualifications and ExperienceHigh school diploma or equivalent; Associate's degree or higher preferred.5+ years of experience working with and supporting Executives and Senior management.Experience managing confidential business matters with professionalism and discretion.Fluent in English and Spanish; excellent written, verbal, and interpersonal skills.
