This position will consistently follow high standards of business and professional ethics, and legal and regulatory requirements when dealing with others and/or performing work activities.As the full-time Executive Assistant to the CEO of Schulz Financial Group, your responsibilities include:· Manage and organize CEO's email inbox and initiate action where appropriate· Manage CEO's calendar to maximize her time· Take notes during meetings and create tasks for the team in CRM (RedTail)· Coordinate meetings with, and support from, wholesalers · Plan and execute client events· Schedule meetings with clients and prospective clients· Initiate contact and follow up with prospective clients· Maintain office calendars and syncing using master scheduling software· Anticipate CEO's tasks and needs for the day and make necessary preparations· Delegate tasks among team members to ensure equitable workloads and smooth operations · Research and acquire new software, hardware, etc. as needs of the office grow· Create and maintain policies & procedures for all aspects of the firm· Adapt to additional changes, duties, and expectations as the firm growsKey Traits of a Successful Executive Assistant:· Excellent attention to detail· Ability to prioritize information and activity in a fast-paced environment· Diplomatic communication with clients and other advisors/staff· Proactive approach to time management for self and others· Polite, professional, and clear phone manner· Capable of task-switching throughout the day as business needs emerge· Adherence to and enforcement of rules and regulations· Sense of personal responsibility for compliance efforts· Capability to work both independently and on a team· Highly skilled at conflict resolution and stress reduction techniques· Positive attitude and sincere willingness to constantly learn and growEducation and Employment Qualifications:· 5 years + of experience in a similar administrative/customer service role in a fast-paced work environment· Proficiency with Microsoft Office Suite and working knowledge of Apple/Mac OS· Ability to learn new systems including Redtail CRM, ScheduleOnce, Zapier, etc.· Successfully pass an FBI background check, including fingerprinting, and credit check· Positive attitude and sincere willingness to constantly learn and grow - we will train the right candidate!Preferences:Hospitality or Management DegreeExperience with financial services software, terminology, and proceduresExperience working in a highly-regulated industrySkilled at managing personal finances & budgeting - we practice what we preach!We Expect Our Team Members at All Levels To:· Grow professionally and inspire others to do the same· Work with and through others to achieve desired outcomes· Make prompt, pragmatic choices and act in the client's best interests at all times· Take ownership and hold themselves and others accountable for delivering results that matter· Contribute to the continuous evolution of the firmCompensation:Starting salary: $50K-$60K, DOE. Actual base salary varies based on factors including but not limited to: relevant skills, prior experience, education, and demonstrated performance.
