Our client, an AI Company, is seeking a dynamic, versatile and experienced Executive Assistant to support 3 C - Suite Executives in NYC! This is an incredible opportunity to join an exciting, fast - paced and forward-thinking firm. The ideal candidate has administrative support experience out of tech or venture capital industries. If you consider yourself a self - starter, adaptable and a true gate - keeper, this is the role for you!Administrative Experience out of tech and/or venture capital required. Compensation: $90 - $100k base + discretionary bonus Work Model: Hybrid, 4 days onsite, 1 remote, flexible to 5 days as needed Hours: 9am-5/6pm Responsibilities:Calendar Management & Scheduling - Organizing and maintaining calendars, scheduling meetings, appointments, and events while ensuring there are no conflicts. Sending reminders and adjusting schedules as needed.Travel Arrangements - Coordinating domestic and international travel, including booking flights, accommodations, transportation, and preparing detailed itineraries. Managing last-minute changes and travel-related documentation.Expense Management - Tracking, organizing, and processing expense reports, receipts, and reimbursements. Ensuring compliance with company policies and budget guidelines.Phone & Email Correspondence - Managing incoming and outgoing communications, prioritizing messages, drafting professional responses, and handling follow-ups to ensure efficient communication.Meeting Preparation - Organizing agendas, preparing documents and presentations, coordinating logistics, and taking meeting minutes to ensure productive discussions and clear action items.Ad-Hoc Administrative Projects - Assisting with special projects, research, data entry, document preparation, and other administrative tasks as needed to support business operations.Qualifications:At least three years of experience providing executive-level administrative support.Bachelors degree Proven ability to manage and coordinate multiple senior executives effectively.Strong track record of handling highly sensitive and confidential information with discretion.Exemplary professionalism, sound judgment, and a high level of maturity.Exceptional written and verbal communication skills.Superior multitasking, time management, and organizational abilities.Collaborative team player with a proactive and adaptable mindset.Please submit your resume for consideration!You can use WorkGrades to collect and manage your references for free and share them with us or anyone else you choose by visiting /home/candidate.
