Position SummaryThe Historic Third Ward Association (HTWA) is seeking a proactive and self-motivated Membership and Administrative Coordinator to join our team. This full-time, in-person role focuses on growing our membership program, recruitment and retention of members, planning and managing exclusive member events, and supporting our public events. The ideal candidate will also manage various administrative duties, including data entry, reception, office meeting coordination, office organization, and accounts receivable/payable tracking. This position plays a vital role in fostering strong relationships with our members and the community while contributing to the overall success of our organization.Key ResponsibilitiesMembership Management:In coordination with the Executive Director and Membership Committee, develop and implement strategies for recruiting and retaining members.Maintain and update membership records in the customer management platform.Build and sustain strong relationships with members, addressing inquiries and providing exceptional service.Coordinate and execute exclusive membership events. Administrative Duties:Manage office operations, including reception, office organization, and general administrative support.Oversee meeting coordination, including scheduling, preparing materials, and taking minutes when necessary.Track accounts receivable (AR) and accounts payable (AP) to support financial processes.Greet guests, answer calls, and manage office correspondence.Maintain an organized filing system for records and documents.Perform data entry tasks with a high level of accuracy.Contribute to newsletters and other written communications as assigned.Event Support:Assist in organizing and executing public events hosted by HTWA.Provide on-site support and logistical assistance during events, which may require extended hours.Qualifications & RequirementsEducation & Experience:Bachelor's degree in Communications, Business, or a related field is preferred.Minimum of 2 years of experience in public relations, marketing, special events, or volunteer coordination/management.Skills & Competencies:Outstanding written and verbal communication skills.Strong interpersonal and organizational abilities.Proficiency in Windows/Office365, Constant Contact, Google Drive, and Canva.Experience using customer management platforms is desired.Personal Attributes:Proactive and self-motivated, with the ability to work both independently and collaboratively in a diverse team.Highly detail-oriented, with the ability to manage multiple priorities.Comfortable working extended hours during special events.Compensation & BenefitsStatus: Full-time, Non-Exempt, HourlyCompensation: Competitive wage commensurate with experienceBenefits:Medical, Dental, Vision, Retirement, Life Insurance, and Short-Term Disability, Paid Parking, Paid Time Off, and Paid HolidaysEqual Opportunity EmployerThe Historic Third Ward Association is committed to fostering an inclusive and equitable workplace.
