Job Title: Administrative AssistantJob Type: Full-Time (8 hrs. shift - 40 hrs./week)Experience Level: 6 months+ABOUT THE ROLEAranlex, LLC is seeking a highly motivated, organized and proactive Administrative Assistant to support our client's Biomedical Equipment Department ensuring smooth office management operation. This role is required to be on-site located at a healthcare facility in Hialeah, FL. This role requires exceptional organizational skills, customer service experience, attention to detail, and the ability to multitask in a fast-paced environment.KEY RESPONSIBILITIES:Administrative Support: Provide administrative support to the management team. Maintain office organization and file management systems. Supplier & Vendor Liaison: Communicate with external suppliers, negotiate pricing, and follow up on orders, and deliveries.Scheduling & Coordination: Organize department meetings, appointments and office activities.Errands & Procurement Assistance: Occasionally handle off-site tasks such as collecting urgent equipment, supplies or documents.Compliance & Record-Keeping: Properly manage documentation, reports, and correspondence. Communication & Team Support: Serve as the key point of contact for the Biomedical Team. Respond to customer service inquiries and providing timely support as needed. Manage communication through phone, email and in-person interactions.JOB REQUIREMENTS:Education: Associate Degree or Bachelor's degree in Office or Business Administration, or a Healthcare related field preferred. Experience: 6 months + in an administrative assistant or office management role preferably. Technical Skills: Proficiency in Microsoft Office Suite (Excel, Access, Word, TEAMS, Power Point, Outlook), ERP systems.Communication Skills: Completely bilingual (English and Spanish) is required, strong written and verbal communication skills on both languages is required to interact effectively with team members, healthcare facility staff, and executives.Organizational Abilities: Ability to manage multiple tasks with the ability to prioritize tasks effectively. Maintain detailed records, and meet deadlines in a fast-paced environment.Problem-Solving Skills: Quick thinking and resourcefulness in handling urgent administrative challenges.Flexibility: Willingness to run errands outside the main facility when necessary and adapt to the evolving needs of the Biomedical Equipment Department.WORKING CONDITIONS:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job with or without reasonable accommodation. The environment includes office location, and / or moving inside or outside the office.
