Vaco has partnered with a healthcare industry client near downtown Indianapolis to fill an Administrative Assistant position.ScheduleThis is a full-time in office position. Regular hours will be Mon-Fri, 8am -5pm. There is also a requirement to attend two evening virtual board meetings per month. Office hours can be adjusted those days.Responsibilities:Provide administrative assistance for the organization's CEO and CFOOutgoing mail postage.Building vendor correspondence/coordinationKeep inventory and order office suppliesTake reception cash to the bank and make change when needed,Prepare monthly Board of Director meeting packets.Prepare other meeting packets as assigned.Manage meeting schedules for CEO & CFO.Set up the community room for monthly staff meetings.Attend monthly Finance Committee meeting (3rd Tuesday of each month 5:00pm - 6:00pm. Currently all are virtual and can be attended from home) and take minutes. Compile minutes for CFO review after.Attend virtual monthly Board of Director meetings and record the minutes (4th Tuesday of the month January - October. November and December are scheduled around the holidays and can very. These are virtual except March, June, September, & December when they are in-person at the clinic; 6:00pm - 8:00pm). Compile minutes for review after.Qualifications:Previous administrative support experienceStrong level of professionalismExcellent written and verbal communication skillsProficiency in MS OfficeData entry skillsProven record of dependability and strong attendance record
