We do this through the expertise of our teams, holding the highest standards in job safety and employee education.Norlee Group is looking for a highly motivated Executive Assistant to the Vice President of Operations with experiencein the construction industry to join our team. This is a Senior Executive Administrative role supporting the Vice President of Operations in a fast-paced environment. This role will provide high-level support to executives for the Norlee Group, keeping their path clear of non-essential tasks while proactively anticipating their requirements. An individual in this role should be a mastery of time management, proficient in logistics planning, highly organized, technical savvy, and attention to detail, ensuring flawless execution of multiple priorities. Work is performed independently requiring ongoing and direct interaction with the Vice President of Operations as well as their direct reports.Construction experience or knowledge is highly valued.What this Role Will Do:Act as the executive assistant for initiatives being driven by the executives you are supporting, while maintaining discretion, diplomacy, and confidentiality working with stakeholders across the organization. Learn Norlee's primary business objectives to anticipate support needs. Schedule and coordinate complex executive meetings, bringing together geographically dispersed teams, managing logistics, and documenting follow up activities. Collaborate and build relationships to drive results in a matrixed organization experiencing change and transformation. Research, compile, summarize, and analyze information to make decisions, find answers, and respond to various inquiries from internal and external customers. Utilize the full suite of MS Office products to prepare high quality correspondence, reports, and presentations. Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress and problem-solving. Manage expense reporting for executives as needed. Collaborate closely with other Executive and Administrative Assistants to achieve and maintain a strong work environment. Liaise with teams' company-wide to always ensure a smooth operation. Completes projects and special assignments in a timely manner by managing time and gaining the cooperation of others, problem solving and adjusting plans. Responsible for coordinating all aspects of the quarterly Management Meeting. Broad understanding of the construction industry and experience interpreting regular reporting requirements including but not limited to WIP (Work-In-Progress), Labor Reports, Cost to Complete, etc. You'll be great fit if:Strong communication, including writing, speaking and active listening.A minimum of a university degree in Business Administration, or 10 years in an executive administration role, or the equivalent of education and experience. Human Resources management education would be an asset. Must have experience in the Construction/Contractor industry. Must be a notary public or willing to obtain notary status on behalf of the Norlee Group. Ability to read, interpret, understand, and report on periodic business financial statements including Balance Sheets, and Income (P&L) Statements. Proven skills to deal with and compute ratios, percentages, costs, gross margins, and gross profit. High level of proficiency in Microsoft Office Suite applications including Word, Excel, PowerPoint, and Outlook.
