Job SummaryThe Operations Manager will work in lockstep with the VP of Operations to advance the Association's mission by ensuring that our internal systems operate seamlessly and continue to improve. This is a multi-faceted role with varied responsibilities. It requires exacting attention to detail and the ability to rapidly pivot between projects. The position is based in Austin.B. Essential Job FunctionsHR ResponsibilitiesSend birthday & work anniversary emails, compile weekly celebration emails, and send giftsBuild performance review and 90-day review templates and coordinate the semi-annual performance review cycle and 90-day reviewsManage and execute parts of the onboarding and offboarding processTrack completion of assigned HR training and documentsCommunicate weekly OOO updates to staffUpdate and monitor job postings across various recruitment channelsIT ResponsibilitiesServe as the primary point of contact with our IT vendors for continued support & improvementManage our existing IT inventory and procure technology to ensure that employees have continuous access to well-functioning equipment, software, and other technology resourcesBecome our Google Workplace expert, able to create and update listservs, accounts, and chat spaces & troubleshoot issuesManage our Zoom administrative accountMaintain our account and assist vendors with domain issuesMeetings & EventsBoard Meetings - Handle board logistics such as scheduling, taking minutes, printing agendas, and sourcing the venue, catering, & technologyStaff Meetings - Draft agendas and coordinate speakersStaff Events - Support the Director of Special Events by coordinating retreats and celebrations for staff and management. Ensure that supplies, catering, and technology are available.Operational ResponsibilitiesRespond to inquiries received via the administrative email and main phone linePick up the mail, update the check log, and deposit checksManage property at our flex office space, assisting staff with access and suppliesCreate and maintain procurement systems for office suppliesOrder business cards, nametags, and stationery when requested Manages organization accounts (FedEx, Walmart, HEB, Office Depot), ensures tax exemption, and works with employees to troubleshoot access and payment info as neededFinancial ResponsibilitiesUpdate the check log, scan and deposit checks, and save documentation to the finance driveEnsure that new vendors complete contracts and provide ACH and W9s for the finance teamManage the monthly Navan reconciliationDownload and submit recurring invoices to the finance team (Ameriflex, FedEx, etc...)Assist with the payroll process, sending HR changes and verifying 401k changesC. Expectations:This is a full-time, exempt position. Employees are generally expected to work a 40-hour work week, with an understanding that occasionally there will be times when 50 or more hours a week may be required in order to complete projects.D.
