Position Description:This role is the first point of contact for existing and future tenants, brokers, lenders, etc. and provides light administrative support to the Operations Department and office staff. The position also serves as a back-up to the Operations Department. Successful candidates will have excellent customer service skills, problem solving abilities, and can thrive in an often stressful, multi-tasking environment. Key Responsibilities:Greet guests and clients in a professional, friendly and hospitable mannerProfessionally screen and route incoming phone calls (5 lines)Take messages and distribute to intended recipient when neededAct as back-up for the building maintenance/operations phones (3 lines)Receive, sort and distribute all incoming mailCoordinate shipments via courier, DHL or Federal ExpressSupport Operations Department with various tasksLog and distribute will call itemsDistribute payroll checksCoordinate conference room scheduleProvide parking validations to guests Assist clients and employees with questions and requestsUpdate Reception manual as tasks evolveRequired Qualifications and Skills:High school diploma or equivalent experience, bachelor's degree preferredMinimum of one (1) year customer service work experienceExhibit strong written and verbal communication skills, including the ability speak clearly and concisely in EnglishDemonstrates a high level of proficiency with Microsoft Suite, Salesforce, TeamsAbility to maintain confidentiality regarding client and employee matters at all timesAbility to manage time in an efficient manner, multitask, and effectively prioritize tasks based on importance and urgencyDetail oriented and comfortable working in a fast-paced office environmentSuperior organization skills and dedication to completing projects in a timely mannerMaintains a professional appearance and demeanorPunctual at all times and able to meet shift requirement of 8:30am-5:30pm, Monday - FridayWhile performing the duties of this job, the employee is frequently required to stand and reach with hands and arms, kneel, bend at waist, walk, sit, and carry up to 25 pounds. Employee is frequently required to grasp and use fine manipulation with hands, to include, dialing, keying/typing, and writing with an implement.
