Job Title: Administrative AssistantDepartment: AdminReports To: Director of Client SuccessFLSA Status: Non-ExemptPay Range: $19-$23 per hourEmployment Status: Full-TimeJob SummaryThe Administrative Assistant serves as a receptionist, answering phones, greeting clients, and performing general office tasks. The Administrative Assistant will collaborate with other team members and interact with customers in a meaningful way--by helping them accomplish their objectives. The Administrative Assistant will participate in developing and executing strategic objectives of the company, including quality control, process enhancement, and relationship development.Essential Duties and ResponsibilitiesAdministrative Duties:Greet visitors to the office and provide them with any assistance they may need, making the visit a welcoming and pleasant experience (i.e. offer coffee, water).Answering phone calls and directing them to proper personnel.Opening Orders (Integration & Manual).Shipping recorded documents to buyer, seller, lender, or borrower.Vendor check mail outs.Distribute incoming office mail.Maintain office supply inventory and keep office organized.Additional Responsibilities:Check in all inbound packages and log the received date in the system.Sort signed packages and arrange documents in the proper stacking order.Scan signed packages into the system.Audit signed packages to ensure all signatures and dates are correct.Report any issues to the closing team.Deliver checks to the accounting team.Prepare signed documents for lender submission, package them, and deliver to the overnight courier.Perform a Quality Control audit on all recordable documents and hold them for release.QualificationsEducation & Experience:Associate degree preferred.Minimum of 2 years in an administrative or similar role.3 years' experience with Microsoft Outlook, Word, Excel, and Adobe Reader is required.Skills & Abilities:Strong organizational skills and attention to detail.Excellent written and verbal communication skills.Ability to work collaboratively in a team environment.Strong customer service orientation.Physical DemandsAbility to stand, sit, and talk or hear for prolonged periods.Occasionally required to walk and stoop.Must frequently lift and/or move up to 10 pounds and occasionally up to 25 pounds.Specific vision abilities include working on a computer screen for extended periods.Work EnvironmentThe work environment is fast-paced with daily deadlines.Noise levels are typically moderate.Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.This job description outlines the primary responsibilities and qualifications for the Administrative Assistant position.
