Ultimate Staffing's Baltimore based client is looking for a Direct Hire Commercial Lease Adminstrator with strong organizational, analytical and communication skills. This role offers the opportunity to support high-impact lease management processes while collaborating closely with internal stakeholders and external partners.As a staffing firm specializing in connecting top talent with exceptional opportunities, we are excited to assist our client in finding the right individual for this essential role.Key ResponsibilitiesThe Executive Assistant will:Oversee administrative tasks for the preparation of lease drafts, proposals, and renewals, ensuring the accuracy of legal business names and the organization of all lease-related documents.Manage lease templates and coordinate with attorneys to ensure template updates are accurate and compliant.Calculate, track, and assist in processing broker commissions tied to executed lease agreements.Create comprehensive lease abstracts in preparation for final execution.Administer the execution of lease documents, ensuring timely return of documents to tenants and brokers.Monitor and track tenant eligibility for lease options, providing support to leasing agents as needed.Develop and maintain monthly status reports on lease expirations and assist with renewal preparation.Assist the leasing team by tracking lender consent requirements for the property portfolio.Lead the management of the Leasing Department's CRM system, including entering and maintaining accurate data, tracking deal lifecycles, and generating reports.Coordinate with leasing teams on lease document execution and offer support on portfolio-wide initiatives.Provide other administrative and leasing department support as assigned.QualificationsEducation: Bachelor's degree in Business, Finance, or a Legal field preferred (equivalent work experience considered).Experience:Minimum of 5 years of experience in lease administration, real estate accounting, or contract management.Background in interpreting commercial leases; paralegal experience is a strong plus.Strong planning, organizational, and problem-solving abilities.Detail-oriented with a commitment to accuracy and thoroughness.Proactive, self-motivated, and capable of managing multiple priorities in a fast-paced environment.Excellent relationship-building and communication skills, both internal and external.Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).Familiarity with Yardi and Commercial Edge is a plus.Comfortable navigating CRM tools to manage and report on deals and renewals.Fluent in English, with excellent written and verbal communication skills.Additional RequirementsReliable transportation for occasional office visits.Must successfully pass a pre-employment background check and drug screening.Why Apply?Our client offers a collaborative environment and the opportunity to make an impact within their growing portfolio of commercial properties.
