We bring a combination of broad-based expertise with specialized knowledge of specific risks, allowing us to provide independent, objective advice in the three primary areas of risk: healthcare, life and annuity, and property and casual.Oliver Wyman Actuarial Consulting is seeking an organized and enthusiastic Executive Assistant to support up to 3 Partners.This a hybrid role that requires 3 days per week in our office. There is no option to be fully remote.Key Responsibilities:Business DevelopmentBuild relationships with clients and client EAsUnderstand the business goals and objectives of each supported Partner and help to push them forward proactivelyMaintain and update current list of contacts and business activities in CRM databaseTrack and maintain sales activity/pipeline with each PartnerProactively spot clients that haven't been called upon and/or who need follow upExecute requested follow-up calls for client mailingsAssist the Marketing Department with the co-ordination of customized mailingsPrepare letters, proposals and other documents using Oliver Wyman formatting stylesCalendaringMaintain diaries for Partners, scheduling internal and external meetings, communicating with clients and infrastructure staff as appropriateProactively spot opportunities to add internal and external meetings; interviews, staff meetings, follow upAssist with scheduling for complex projects as requested by the Partner and/or project teamTravel ArrangementCoordinate travel and accommodation, book cars, rail tickets, etc.Develop understanding of Partner scheduling and travel preferencesCoordinate travel efficiently by grouping client meetings where possible ("you're in Paris to see XYZ Company, shall I try to set up a meeting with X Company because we haven't spoken to them for three months")Daily administrationWork with HC to obtain work permits and visasManage documents and project deliverables when requestedNotify staffing and Practice EAs of extensions/re-negotiationsManage storage or disposal of confidential client informationAct as central point of contact for all assigned Partner administrative needs, liaise with other support departments as necessaryTimesheet and Expense Reporting Prepare weekly timesheets for each assigned PartnerPrepare all expense reports and/or delegate to a team assistant when necessaryTeam SupportProvide coverage for EAs who are out of the office to ensure seamless support to PartnersProvide short-term coverage for Partners who may be in the midst of an EA assignment transition or who are new to the FirmProvide training and support to new EAsParticipate in team meetings and projects with an eye to improving processes and the overall performance of the EA teamExperience Required:Bachelor's degree preferredAt least 3 years' experience at working in an administrative or customer service position.Experience in financial services, management consultancy and/or a professional services environment a plusEnglish fluency a mustTechnical Skills:Excellent Word, PowerPoint and Excel skillsExpert knowledge of OutlookKnowledge of Salesforce a plus, but not necessarySkills and Attributes:Problem solver - able to work with other teams and staff members effectively to reach a viable solution and goalStrong service focus - dedicated to meeting the expectations of all staff through securing effective relationships with clients and executing deliverables to the highest standards.Excellent communicator and negotiator - able to deal effectively with people at all levels across a multicultural environmentMaturity, poise and judgmentAbility to maintain and respect confidentialityAbility to think strategically and contribute to development of departmental modelOne who takes constructive feedback in stride and incorporates feedback quicklyAbility to manage a heavy work volume and meet deadlines in an extremely fast paced environmentAbility to undertake projects and produce quality and timely resultsSelf-starter, strong initiative, confidence and ability to work with little guidanceCollaborative team playerPositive attitude, sense of fun: is collegial and friendlyAbility to juggle several tasks at once, to prioritize and manage own time - Not a clock watcher or someone who is unwilling to step outside their job descriptionMethodical, organized and excellent attention to detailFlexible attitude; embraces change, hard-working, cost conscious and results driven.The applicable base salary range for this role is $53,000 to $95,000.The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis.
