Corporate Administrative Assistant with Accounting SupportCompany: Marine Acoustics, Inc. (MAI)Overview: Marine Acoustics, Inc. (MAI) is an employee-owned scientific research and engineering company that provides innovative consulting and engineering services to government and corporate clients. We specialize in helping clients meet environmental compliance requirements and supporting the development of naval undersea warfare systems. We are seeking a highly organized and adaptable Administrative Assistant who will support both the administrative and accounting functions of the company. This position offers a unique opportunity to work closely with the Finance and Human Resources teams while assisting with various accounting and administrative tasks.Position Summary: The Administrative Assistant will play a key role in handling both general administrative duties and accounting-related tasks. This position will work closely with the Accounting Department to ensure the accuracy of financial transactions and support the overall efficiency of day-to-day operations. The ideal candidate will be detail-oriented, able to multitask, and comfortable with both administrative functions and accounting responsibilities.Key Responsibilities:Administrative Responsibilities:Perform general clerical duties such as photocopying, faxing, mail distribution, filing, answering phones, and managing emails.Coordinate and schedule meetings, conference calls, and appointments.Maintain office supplies and manage office inventory.Prepare Purchase Orders and Purchase Requests as needed.Respond to employee inquiries regarding policies and procedures.Support the CFO with administrative tasks related to human resources, including preparing new hire information packets, maintaining personnel files, and assisting with benefits administration.Ensure confidentiality and discretion in handling sensitive information.Accounting Support Responsibilities:Perform cost accounting duties, including assisting in accounts payable, accounts receivable, government reporting, timekeeping/payroll, and payroll taxes.Assist with the preparation for financial audits, including gathering required information.Ensure all financial records comply with federal contracting regulations, corporate accounting policies, and control standards.Minimum Qualifications:3 to 5 years of experience in a related position.Strong proficiency in Microsoft Office Suite, particularly Excel.Ability to analyze and interpret financial data.Excellent communication skills, both verbal and written.Ability to work effectively in a team environment while maintaining a high degree of independence in completing tasks.Detail-oriented, organized, and able to manage multiple projects simultaneously.Strong critical thinking and problem-solving skills.Ability to maintain confidentiality and discretion at all times.U.S. citizenship and the ability to obtain a Government Security Clearance.Preferred Qualifications:Experience working with federal government contracts, FAR, DFARS, DCAA, and DCMA regulations.Previous experience working in a government contracting environment.Why Join MAI?
