POSITION SUMMARYReporting to the Director of HR and People Operations, this position will provide administrative and operational support for the office and the HR department. The Office Operations & People Coordinator is responsible for ensuring the office runs smoothly while supporting key HR functions. This role serves as the first point of contact for office guests, oversees office maintenance and vendor coordination, manages supplies and catering, and assists with HR tasks.PRIMARY RESPONSIBILITIES Office OperationsGreet and check in office guests, directing them to the appropriate person or meeting room.Maintain the reception, office, meeting rooms, and kitchen areas, ensuring they are tidy and well-stocked (including coffee machines, microwaves, refrigerators, and furniture).Plan and order weekly catering while managing the budget.Order and stock office supplies and pantry snacks within the allocated budget.Act as the primary liaison with the landlord to address office-related issues.Coordinate with vendors for office-related projects, including branded merchandise and office improvements.Manage incoming mail and packages, sorting and distributing them daily.Assist in planning and coordinating company events, including annual workshops and holiday dinners.People Operations (HR Support)Process bi-weekly payroll and employee reimbursements as needed.Maintain accurate employee records, including both hard and electronic files.Conduct research on HR-related topics to ensure company policies remain current.Support HR projects, training sessions, and onboarding activities.Assist with employee engagement initiatives and communicationsAdditional ResponsibilitiesProvide general administrative assistance to leadership or other departments as needed.Coordinate travel arrangements for employees when necessary.QUALIFICATIONS2+ years of experience in office management, administrative support, or HR coordination.Proficiency in Microsoft Office, Google Workspace, and HRIS/payroll systems (Rippling preferred).Strong organizational and multitasking skills with attention to detail.Excellent verbal and written communication skills.Ability to work independently while collaborating with multiple teams.
