Position Summary:Assembly is a leading and rapidly growing executive search firm partnering with tier-1 private equity and venture capital firms, building out leadership teams for their software and technology investments. We are committed to building diverse and winning teams, delivering exceptional results to our clients, and developing our internal talent to grow in their own careers.We are seeking a highly dynamic Project Coordinator/ Office Manager who will provide comprehensive administrative support to our recruiting team. This person will interface with all levels of the organization and prominent clients and candidates. The ideal candidate is highly versatile, professional, with the ability to quickly shift priorities and balance action items.Responsibilities:Act as the first point of contact for visitors/ clients to ensure they feel welcomeManage office supplies inventory, oversee office maintenance and cleanlinessOrganize, schedule, and handle logistics for internal and external meetingsAssist with special projects and assist with scheduling team events, company onsites and eventsBook travel both internally and for executive candidatesCoordinate full-cycle recruiting: scheduling phone and in-person interviews, and candidate travelManage high-volume scheduling, showing a responsiveness to all candidate inquiriesMaintain accurate entry and integrity of data in our databaseCommunicate professionally and always maintain a high level of confidentiality with candidates as well as external and internal stakeholdersTake pride and ownership in the overall candidate experienceRequired to be in the office 3-4 days a weekQualifications:Bachelor's Degree requiredHigh proficiency in Microsoft Office suiteOutstanding verbal and written communication skillsSelf-starter - Ability to start and complete projects independentlyStrong communications and interpersonal skills, with the ability to work effectively in cross-functional teamsMotivated, efficient, proactive and thrives in a fast-paced environmentEntrepreneurial spirit with a desire for creativity and outside-the-box thinkingUtmost discretion in all aspects of the jobDetail oriented with exceptional organization and task management skillsDedication to responsibilities; proactive and driven attitude; willingness to succeed at all costStrong project management and problem-solving skillsAt least one year of relevant work experienceAbility to take on new tasks and execute with efficiencyAbility to interface with all levels of the organizationBenefits:Unlimited vacation policyCompany 401(k) matchMedical, dental and vision insuranceTeam social and volunteering events
