The Manager of Operations and Finance will play a critical role in overseeing bookkeeping and office management within the organization. Under the guidance of the Executive Vice President, the office manager is responsible for ensuring the organization's financial stability, operational efficiency, and effective resource utilization across both the Academy and the Georgia Healthy Family Alliance (GHFA). This position involves managing all necessary paperwork for the GAFP CPA related to budgeting, financial planning, contract negotiations, vendor management, and administrative operations, all in support of the organization's strategic objectives and daily functions.Key Responsibilities / Essential Duties:Financial Leadership & Oversight:Collaborate with the EVP and CPA to develop and execute financial strategies, ensuring long-term fiscal health and sustainability for both the Academy and the GHFA.Oversee the development and maintenance of accurate financial records, including balance sheets, income statements, and cash flow projections.Manage relationships with external fiscal partners such as auditors, bankers, and financial consultants, ensuring compliance with regulatory and reporting requirements.Lead the audit process, working with external auditors to ensure accurate financial reporting and compliance with industry standards.Collaborate with the EVP and CPA to rack financial performance against budgets, identifying any variances and implementing corrective actions as needed.Operational Management:Lead the development and implementation of efficient operational policies and procedures, ensuring consistency and compliance across all organizational functions.Oversee all operational contracts, including but not limited to vendor agreements, service contracts, and lease agreements, ensuring favorable terms and proper performance.Supervise the management of the organization's insurance policies and risk management protocols, ensuring the organization is adequately protected.Manage and streamline daily operations to ensure efficiency and effectiveness in all organizational functions.Ensure that operational processes and systems are cost-effective and aligned with the organization's strategic objectives.Collaborate with department heads to drive operational improvements and cost-saving initiatives.Vendor & Contract Management:Serve as the primary point of contact for all external vendors, managing contract negotiations and performance evaluations.Oversee the procurement process for goods and services, ensuring the best pricing and terms while maintaining high-quality standards.Negotiate and manage contracts with key service providers (e.g., CPAs, IT vendors, insurance providers), ensuring timely and cost-effective delivery of services.Evaluate existing vendor relationships regularly, identifying opportunities to improve efficiency or reduce costs.Required Qualifications & Skills:A minimum of 3 - 5 years of experience in operational and financial leadership roles, ideally within nonprofit organizations, associations, or healthcare-related industries.Proven track record of managing large budgets, financial planning, forecasting, and reporting.Strong expertise in vendor and contract negotiations, with the ability to drive cost-saving initiatives while maintaining quality.Exceptional organizational and leadership abilities, with experience in optimizing operational processes and resource management.Expertise in managing financial audits, grants, and compliance processes.Strong communication skills, both written and verbal, with the ability to present complex financial and operational information clearly to senior leadership and Board members.Excellent problem-solving skills, with the ability to anticipate challenges and implement effective solutions.Ability to navigate changing environments and prioritize initiatives to meet organizational goals.Preferred Qualifications:Experience working within a professional association or nonprofit organization.Familiarity with healthcare-related financial and operational management.Advanced degree in Business Administration, Finance, or a related field (preferred).Physical Demands:Ability to work at a desk or computer for extended periods.Ability to travel as necessary for meetings and events.To Apply:Please submit your resume and cover letter to Helen Sairany at hsairany@
