Job Description:Core ResponsibilitiesThis role provides essential administrative support and ensures seamless daily office operations while delivering a high level of client service. Front Desk & Client ServiceServe as the first point of contact for clients, attorneys, and visitors, ensuring a warm, professional, and polished experience.Answer and route phone calls with professionalism, ensuring that messages are relayed promptly and accurately.Manage conference room bookings and prepare meeting spaces, ensuring they are clean, well-stocked, and set up according to meeting requirements.Assist in coordinating client visits, including arranging refreshments and preparing necessary documents. Administrative & Office SupportHandle incoming and outgoing mail, deliveries, and courier services.Print, scan, and organize documents with accuracy and attention to detail.Partner with remote paralegals to procure and assemble exhibit binders for court appearances, ensuring accuracy and timely preparation.Maintain office supplies and breakroom stock, placing orders as needed.Communicate with vendors regarding orders, office maintenance, and service inquiries.Input and update basic client information in the firm's practice management system.Assist attorneys and staff with ad hoc administrative requests as needed.
