ADMINISTRATIVE ASSISTANT (PROPERTY MANAGEMENT)The Administrative Assistant will support the property management team with various administrative and operational tasks to ensure success of a portfolio of managed assets. This entry level position is perfect for someone eager to learn the commercial real estate industry. They will assist with the day-to-day activities and will report to the Senior Property Manager.Duties include but are not limited to the following: Support PM team by proactively ensuring and maintaining detailed, accurate and current property records and documentation including tenant and vendor correspondence files.Maintain accurate and current tenant contact information.Assist in the on-going bidding process of vendor contracts.Create (from existing forms) vendor service agreements and service orders Create (from existing forms) tenant delinquency notifications as well as any additional correspondence at the request of the SPM. Assist with tenant move-ins/move-outs at the direction of the SPM.Direct on-site Porters and other janitorial staff to ensure tenant requests are being addressed. Responsible for tenant and vendor access to the asset(s).Responsible for the building amenities including access, presentation, etc. Be in an "On-Call" rotation for after-hours calls. Oversee tenant parking access and compliance with lease allocations.Receive, review (and suggest action to the team) and file daily Security/Janitorial Reports for each asset.Coordinate awareness and access for all asset tours. Perform annual audits of the access system as well as the work order system.Other duties as assigned.REQUIRED EDUCATION AND EXPERIENCEThe ideal candidate will have some experience in commercial property management with at least half of that experience specifically in the office sector (preferred but not required). This position will function with limited daily oversight so the candidate must be focused and possess the ability to self-manage. A team mentality is a must. The candidate must also possess strong people skills. Must be based in Dallas-Fort Worth. REMOTE WORK NOT AVAILABLE- A remote work schedule is not available for this position.Salary commensurate with experience.
