A finance firm in Manhattan seeks a dynamic and organized Office Coordinator to manage front desk operations and provide administrative support. The ideal candidate will handle a variety of tasks that ensure the smooth day-to-day functioning of our workspace.Salary: $80-90k + bonusHours: 8:30 am - 5:30 pmHybrid schedule: On-site three days per weekKey Responsibilities:Serve as the first point of contact by answering the main phone line and greeting/escorting guestsManage office calendar and schedulingOversee office and kitchen supply inventory, including snacks, coffee, and drinksCoordinate with facilities vendors for maintenance and repairsHandle all incoming/outgoing mail, courier services, and packages, including tax-related mailingsOrganize office catering, including setup and breakdown for eventsAssist the Office Manager with:Planning and organizing company eventsEmployee onboarding and offboardingProviding additional administrative support as neededMaintain and ensure the proper usage of conference room equipmentManage office security system access and protocolsTrack employee attendance and PTO recordsProcess and manage employee expense reportsQualifications:Bachelor's degree preferred3-5 years of relevant experience in a Receptionist, Office Coordinator, or Office Manager roleFamiliarity with basic facilities and office systemsProficient in Microsoft Office Suite and ZoomStrong ability to work independently, handle multiple tasks, and manage changing priorities in a fast-paced environmentExcellent time management skills and attention to detailAbility to manage confidential information with discretion
