This role will provide vital administrative and clerical support to attorneys and paralegals across both transactional and litigation matters. The ideal candidate will be highly organized, capable of managing multiple responsibilities, and thrive in a fast-paced, dynamic environment. Flexibility and strong communication skills are essential, as this position will support various legal teams with differing needs.Key Responsibilities (including but not limited to):Provide comprehensive administrative support to attorneys and paralegals across multiple legal practice areas, including both litigation and transactional work.Prepare, proofread, and edit legal documents such as contracts, pleadings, motions, discovery requests, and other correspondence.File legal documents with courts and government agencies while ensuring compliance with filing rules and deadlines.Manage the attorneys' calendars, including scheduling meetings, hearings, depositions, and ensuring deadlines are met across departments.Assist with the preparation of trial and transactional materials, including exhibits, binders, and presentations.Coordinate meetings, depositions, and hearings with clients, opposing counsel, and other professionals.Maintain and organize client files, ensuring accurate labeling and easy accessibility of all relevant documents.Conduct legal research and assist attorneys with gathering case-related information.Assist with discovery tasks, including managing document productions, tracking deadlines, and organizing case files.Prepare time entries and assist with billing, including invoicing for the supported departments.Help maintain internal systems and databases, ensuring that documents and information are up-to-date and accurate.Qualifications:Minimum of 3 years of experience as a Legal Secretary or in a similar administrative role, ideally supporting both transactional and litigation teams.Strong knowledge of legal terminology, document formatting, and filing procedures for both litigation and transactional matters.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software (e.g., iManage, Relativity, or other case management systems).Exceptional written and verbal communication skills, with meticulous attention to detail.Strong organizational and time-management skills, with the ability to handle multiple priorities and meet deadlines effectively.Ability to work both independently and as part of a team, demonstrating initiative and adaptability.Professional demeanor with the ability to maintain confidentiality and exercise discretion.
