We are seeking a motivated and detail-oriented Administrative Assistant to join our team. This role is pivotal in providing exceptional customer service, handling administrative tasks, and supporting our bookkeeping efforts. The ideal candidate will be a quick learner with solid communication skills, proficient in PC usage, particularly Microsoft Excel, and capable of multitasking in a dynamic environment.Key Responsibilities:Customer Service:Answer incoming calls from customers regarding issues with their phone service.Assist customers with service inquiries, troubleshooting, and requests for additions or changes to their phone services.Ensure customer satisfaction by providing timely and effective solutions.Data Entry:Accurately enter customer information, service requests, and issues into the database.Relay relevant information to technicians and other team members for timely resolution of customer issues.Administrative Support:Prepare, type, and proofread contracts, ensuring accuracy and compliance with company standards.Maintain an organized filing system, including both digital and physical files.Manage faxing and distribution of documents as needed.Bookkeeping Assistance:Support basic bookkeeping tasks, including invoicing and applying customer payments.Conduct follow-up calls to customers regarding past due accounts, aiding in account management processes.Receive training in bookkeeping procedures and collaborate with the team to ensure accurate financial reporting.Qualifications:High school diploma or equivalent; additional education in business administration or related field is a plus.Previous experience in an administrative support role preferred.Strong customer service orientation with the ability to handle various customer interactions professionally.Proficient in Microsoft Excel, with a willingness to learn and work with formulas and spreadsheets.Solid PC skills and familiarity with standard office software (Word, Outlook, etc.).Excellent written and verbal communication skills.Strong organizational skills and attention to detail.Ability to learn quickly, take initiative, and work independently as well as collaboratively within a team.
