We are looking for a proactive and skilled Administrative Assistant with the ablity to work in a fast-paced hybrid position, (work from home one day a week) supporting two busy executives while playing a key role in the legal department's operations.Key Responsibilities:Provide administrative support to two executives on the corporate law team, ensuring smooth day-to-day operations.Answer and route incoming calls, track follow-ups, and direct inquiries to the appropriate team members.Manage executive calendars, coordinate meetings, reserve conference rooms, and facilitate other scheduling needs.Handle the expense process for both executives and departmental P-Card.Welcome and direct visitors, creating a professional, welcoming environment.Assist with legal billing and manage documentation related to corporate matters.Redline and edit confidential legal documents, correspondence, and agreements based on attorney feedback.Track the status of legal agreements in real-time and communicate updates effectively to executives.Interface with external legal counsel on corporate matters, ensuring clear communication and efficient coordination.Manage the e-filing of documents, maintain organization across multiple corporate databases.Coordinate travel itineraries and submit monthly expense reports in a timely manner.Key Qualifications:Bachelor's Degree.Minimum of 2 years of general office or administrative experience; reception experience is a plus.Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.Expertise with Acrobat Adobe Professional (including AdobeSign), NetDocuments, DocMinder, HCue, Carta, and other corporate tools.Strong written and verbal communication skills.Exceptional organizational skills with the ability to multitask and prioritize.Professional demeanor with excellent judgment, problem-solving skills, and attention to detail.Ability to work efficiently under pressure in a dynamic legal environment.
