This individual will play a crucial role in handling various administrative and travel-related tasks to support our operations.Job Responsibilities:As a Sales Assistant at PhysiciansPRN, you will be responsible for a wide range of administrative, travel, and client management tasks, including:Booking Travel: Coordinate and book travel arrangements (flights, accommodations, etc.) for team members and clients.Creating Travel Itineraries: Prepare detailed travel itineraries for team members and clients, ensuring all logistics are accurate and up to date.Amex Reconciliation: Reconcile American Express statements for travel and business-related expenses, ensuring proper documentation and adherence to company policies.Timesheet Management: Retrieve and manage timesheets, including data entry, approval processes, and regular follow-ups.Confirmation Letters: Draft and send professional confirmation letters to clients and candidates.CRM Updates: Ensure the CRM schedule is kept current based on confirmation letters and follow-up activities.Agreements Creation: Draft and send client and candidate agreements to ensure all legal documentation is accurate and timely.Data Entry: Accurately enter data from various lead sources into the CRM system, ensuring records are complete and up to date.Contact Validation: Validate phone numbers and email addresses for accuracy and completeness in CRM records.Physician Outreach: Reach out to physicians to schedule calls with recruiters, maintaining a professional and courteous demeanor.Skills and Qualifications:Experience in administrative, travel coordination, or sales support roles.Strong organizational and multitasking skills with attention to detail.Proficient in Microsoft Office Suite (Excel, Word, Outlook).Experience with CRM systems (Salesforce, HubSpot, or similar) preferred.Familiarity with Amex reconciliation and timesheet management is a plus.Excellent written and verbal communication skills.Ability to prioritize and manage a variety of tasks and projects simultaneously.Strong interpersonal skills and ability to work effectively in a team environment.Why Join Us?Competitive salary and benefits package.Opportunity to work in a fast-paced, supportive, and collaborative environment.Professional development opportunities to help you grow your career.If you are a motivated individual who thrives in a multifaceted role and enjoys providing exceptional support, we encourage you to apply!
