Our client, a Leading Global Asset Management Firm in Midtown Manhattan, is seeking a new Full-Time/Permanent Executive Assistant to support its Global Head of Strategy. Candidates must have a minimum of 5-10+ years of applicable experience providing 1:1 high-level executive administrative support to an Executive within financial services (required; ideally larger financial institution) and a Bachelor's degree is also required. Resumes cannot be jumpy, so a lot of movement and job hopping will not work! Candidates should be extremely polished, professional, proactive, detail-oriented, collaborative, accustomed to working in a fast-paced, rigorous environment, with the ability to prioritize competing demands and deadlines. They should also have excellent interpersonal and communication skills (both verbal and written) to handle sensitive and confidential information/situations and a high proficiency in Microsoft Office Suite. Hybrid work schedule (4 days in office / 1 day remote).Responsibilities:Work closely and effectively with Executive to complete critical aspects of deliverables with a hands-on approach, including keeping them well informed of upcoming commitments and responsibilities, following up appropriately, drafting personal correspondence, and handling other tasks that facilitate the Executive's ability to effectively lead the group.Schedule and organize extensive internal and external meetings, conference/video calls, conferences and off-sites, including all related logistics; manage and maintain a busy and ever-changing calendar.Update DealCloud with relevant meetings.Coordinate complex domestic and international travel arrangements and detailed itineraries, obtain necessary travel documents, and coordinate visas as necessary.Allocate and process expenses for Executive, including American Express and Out of Pocket expenses, using the Concur expense management system.Screen and answer a large volume of incoming calls and meet and greet guests in a professional and courteous manner.Prepare and edit relevant materials for team, including Word Documents and Excel Spreadsheets.Establish, develop, maintain, and update filing system.Handle recruitment coordination and logistics for new employees on the teamCompose strategic communications such as letters, memos, invitations, agendas, and correspondence related to all projects and on behalf of Executive. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format for consistency, and make the appropriate changes.Manage work priorities independently and respond to business outside of normal business hours as needed.Perform other related general administrative tasks for Executive as assigned and required.Use US Mail, FedEx, and other services to send and track priority mail.Coordinate closely with team and other assistants to provide phone coverage and back-up assistance.Responsible for the allocation and coding of invoices using PeopleSoft system as needed.Facilitate vendor onboarding process.Required Qualifications:Minimum 5-10+ years of applicable experience providing 1:1 high-level executive administrative support to an Executive within financial services. Must have 1:1 support experience and finance is required.A Bachelor's degree is required.Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines.Strong initiative and ownership of responsibilities. Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues, and take appropriate action.Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact, and diplomacy.Superb written and verbal communication skills.
