Our client is looking to fill the role of Medical Affairs Coordinator. This role will be hybrid and based out of the Princeton location.Responsibilities:Handles calendars for LT (Leadership Team) including issuing meeting inviteCoordinate and order catering for meetings and internal lunchedArrange travel for LT - including hotels, flights, and transportationAttending monthly Admin calls and aiding other admins as neededCreating and submitting expense reports for LT members, utilizing Concur and American Express platforms - including receiving, uploading, and filing receipts, filling out necessary fields, finding necessary information, following T&E policy guidelines, and speaking with LT members when reconciliation is necessarySending out department wide communications - including piecing together instructions on utilizing various technologiesAssisting with department meeting planning including, room set-up, gifts, and team building eventsWorking with IT and HR to update titles and reporting structure in Outlook when there are promotions or new hiresCreating proofs and ordering business cards for team membersMaking restaurant reservations for large parties as requestedUtilizing Stella to manage payments/invoices from outside vendorsUtilizing QuickBase to manage contracts from outside vendorsProviding various assistance and Ad Hoc support to Sharon, 6 Senior Leadership Team members, and the MA departmentRequired Qualifications:Proven experience as an administrative assistant or similar roleProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook)Excellent organizational and time-management skills.
