The Legal Secretary will provide administrative and clerical support to attorneys and paralegals across multiple departments, including transactional and litigation matters. This role requires flexibility, strong organizational skills, and the ability to adapt quickly to different teams and legal areas. The ideal candidate will be able to handle multiple responsibilities, meet deadlines, and thrive in a fast-paced, dynamic work environment.Key Responsibilities (including but not limited to):Provide high-level administrative support to attorneys and paralegals across various practice areas, including transactional and litigation.Prepare, proofread, and edit legal documents, such as contracts, pleadings, motions, discovery requests, and correspondence.Prepare and file documents with courts, government agencies, and other entities, ensuring compliance with filing rules and deadlines.Manage the attorneys' calendars, scheduling meetings, hearings, depositions, and deadlines across multiple departments.Assist in preparing trial and transactional materials, including exhibits, binders, and presentations.Coordinate with clients, opposing counsel, and other professionals to schedule meetings, depositions, and hearings.Maintain and organize client files, ensuring that documents are properly labeled and easily accessible.Perform legal research and assist attorneys with gathering case information as needed.Assist with discovery, including managing document productions, organizing case files, and tracking discovery deadlines.Manage and track billing, including preparing time entries and invoicing for the attorneys in the supported departments.Assist with maintaining internal systems and databases, ensuring documents and information are up-to-date and accurate.Qualifications:Minimum of 3 years of experience as a Legal Secretary or in a similar administrative role, preferably with experience in both transactional and litigation areas.Strong understanding of legal terminology, legal document formatting, and filing procedures for both transactional and litigation matters.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software programs (e.g., iManage, Relativity, or similar case management systems).Excellent written and verbal communication skills, with strong attention to detail and accuracy.Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.Ability to work independently, take initiative, and collaborate effectively with various teams.Flexibility to adapt to different departments and areas of law, depending on the firm's needs.High level of professionalism, discretion, and confidentiality.
