COMPANY: Private Equity FirmPOSITION: Executive/Office AssistantLOCATION: New York, NY HOURS: 8:30am-5:30pm with flexibility (in office Monday-Thursday with alternating Fridays)COMPENSATION: Up to $110K + Discretionary Bonus + BenefitsBACHELOR'S DEGREE: RequiredOur client is a New York-based private equity firm focused on growth-oriented equity opportunities in the infrastructure space. The team is seeking an Executive Assistant/Office Assistant to join their collaborative and close-knit company culture. The ideal candidate will be highly organized, detail-oriented, and have a "no task is too big or too small" mentality.Responsibilities of the Executive/Office Assistant:-Provide administrative support to senior members of the team (e.g., travel, calendar management, ad hoc projects, etc.).-Prepare T&E reports for expense reimbursement, including organizing invoices/receipts.-Assist with maintaining contact databases (i.e. Outlook contacts, the Company's CRM).-Assist with managing the conference room calendars.-Assist with the setup and breakdown of meetings.-Answer the phones, transfer calls, and take messages, as needed.-Assist with catering requests, as needed.-Maintain high standards as it relates to cleanliness and order.-Assist with the ordering of office and kitchen supplies.-Ad hoc projects (e.g., event planning, conference logistics, calendar management, etc.).-Assist with the following reception responsibilities on an as needed basis: -Serve as the face of the company - exude confidence and cordiality to all guests with a high level of professionalism. -Warmly greet and direct all guests, notify team members promptly upon arrival. -Assist with the distribution of mail, alert employees about packages and lunch orders. -Assist with drafting new procedures to improve the order and efficiency of administrative duties, as neededRequirements of the Executive/Office Assistant:-Bachelor's Degree or higher required.-3-5 years professional experience, preferably within financial services.-Strong Microsoft Office skills are a must.-Experience interacting with high-level guests with poise, grace, and an outgoing personality.-Extremely high attention to detail in all aspects.-Punctual, reliable, and quick-thinking with problem-solving.-Verification of identity, education, prior employment, and references may be required.
