Thompson Hine LLP, an Am Law 200 firm regularly recognized for our commitment to Innovation and Diversity, Equity, and Inclusion, is seeking candidates for a full-time (37.5 hours per week) Executive Legal Assistant in our downtown Cleveland, Ohio office. This position will provide comprehensive high-level administrative support for our Managing Partner and various members of Firm leadership. This role demands a highly organized, detail-oriented, and proactive professional who can manage a variety of tasks in a fast-paced environment with efficiency.Qualified candidates will have: Excellent calendar management skills, including the coordination of complex executive meetings and travel logistics. The ability to carry out duties with the highest degree of quality while maintaining confidentiality and discretion at all times. Exceptional writing and proofreading skills with attention to detail. Strong communication and problem-solving skills. Outstanding software skills, including proficient and advanced knowledge of Word, Excel, PowerPoint, PDF, and Outlook. REQUIRED QUALIFICATIONS High school diploma or equivalent required.At least five (5) years of experience providing administrative support for "C" suite level executives in a professional services industry (i.e., law firms, accounting firms, banking, etc.), or fortune 500 corporations.At least eight (8) years of legal secretary experience. PREFERRED QUALIFICATIONSBachelor's degree in a business, communications, or management field preferred.Qualified candidates will also have experience providing legal support and a basic understanding of law firm organizational structures. Responsibilities include but are not limited to heavy calendar and logistics management, travel planning, assistance with meeting preparation, drafting correspondence, memoranda, and documents, proofreading, maintaining organized files, time entry and expense reimbursements (Aderant), assisting with the client billing process (proofread, edit, mail, etc.), and working closely with other staff and departments as necessary. Applicants must be self-motivated, dependable, and demonstrate sound judgment. Individuals must also have excellent customer service skills, be team-oriented, and adaptable to changing priorities. Exceptional interpersonal skills including the ability to communicate effectively and build positive relationships are critical to being successful in this role. Overtime and schedule adjustments may be needed occasionally to accommodate workflow. This position requires the employee to work on-site in the Cleveland office. This position is eligible for occasional remote work upon successful completion of at least a 90-day training period and afterwards, based on the Cleveland on-site schedule of the Managing Partner.
