Executive Assistant/Office Administrator (HYBRID)Uniondale, New YorkPURPOSEGramercy Risk Management is seeking an experienced Executive Assistant to support the Chief Operating Officer (COO) and manage both professional and personal affairs for the COO and family, while joining this expanding company. This role will involve handling a wide range of administrative, organizational, and personal tasks, ensuring that the COO's daily operations run smoothly, and personal commitments are efficiently managed. The ideal candidate will demonstrate discretion, attention to detail, and a high level of trustworthiness in managing sensitive matters.We are in search of a candidate to be full-time, and we are looking to fill the position in our main office, with some remote capability (3-4 days in office, 1-2 WFH).Key ResponsibilitiesExecutive Support to the COO:Manage calendars, including scheduling meetings, appointments, and travel arrangements.Prepare and organize meeting materials, agendas, and presentations.Handle incoming calls, emails, and correspondence for the COO, prioritizing and responding as needed.Act as a liaison between the COO, senior leadership, and other stakeholders.Assist with the preparation of reports, data analysis, and presentations as needed.Personal Affairs Management:Coordinate personal travel for the COO and family members, including flights, accommodations, and itineraries for domestic and international travel.Organize personal events, including family gatherings, vacations, and celebrations.Manage personal appointments, including medical, personal, and family commitments.Handle day-to-day personal tasks such as gift purchasing, managing home services, and dealing with personal correspondence.Office Administration:Maintain office supplies and inventory, order new materials, and ensure the office environment is clean, organized, and welcoming.Coordinate with building management and outside vendors for any maintenance or office-related issues.Answer phone calls, greet visitors, and direct inquiries to the appropriate department or staff member.Help with filing, scanning, and organizing client and business records, ensuring compliance with confidentiality and regulatory requirements.Assist with organizing internal meetings, employee events, and client-related activities, including catering arrangements and materials preparation.QualificationsHigh school diploma or equivalent required. A college degree or some post-secondary education in business administration or a related field is a plus.Minimum of 5-7 years of experience as an executive assistant or administrative role in an office setting (insurance, financial services, or corporate environment is a plus).At least 2-3 years of supporting C-level executivesTech-savvy, proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), and various scheduling and communication tools.Strong organizational skills with the ability to multitask and prioritize effectively.Excellent written and verbal communication skills.GRAMERCY RISK MANAGEMENTGramercy Risk is a rapidly growing New York-based property & casualty insurance company focused on developing and managing programs for specialty classes of business.
