Med Spa Practice Manager & Front Desk LeadWe are a state-of-the-art med spa boutique in the heart of Cedarhurst, Long Island, dedicated to helping our clients navigate the aesthetics industry with expert care and personalized treatment plans. Our mission is to enhance confidence and beauty while delivering tangible, incomparable results.We are seeking a dynamic, experienced, and self-motivated Practice Manager to oversee daily operations while also serving as our Front Desk Lead. This is a multifaceted role requiring strong leadership, exceptional customer service, and proficiency in med spa operations, marketing, and patient relations. If you're a resourceful problem solver with a passion for aesthetics, we'd love to hear from you!Key Responsibilities:Operations & Patient ExperienceOversee daily practice operations, including opening/closing procedures, cleanliness, and supply managementEnsure a seamless patient journey from lead generation to booking, treatment, follow-up, and retentionManage patient calls, scheduling, and consultations, educating clients on treatments.Greet patients with VIP hospitality, anticipating their needs and ensuring a five-star experience.Monitor customer satisfaction via email, EMR, and social media, handling any concerns proactively.Oversee our EMR (Mangomint) and payment systems, including running reports and revenue analysis.Manage inventory, vendor relations, and reconciliation of suppliesMarketing & Business GrowthAssist with social media content creation using Canva, CapCut, and other editing tools.Plan and execute email and text marketing campaigns (Mangomint & Klaviyo).Organize open houses, seasonal sales, and company events to drive revenue.Capture and manage before-and-after photography for patient tracking and marketing.Develop retail sales strategies and track lead conversion and ROI.Leadership & Team DevelopmentAssist in recruiting, screening, interviewing, and hiring as we grow.Maintain job descriptions, oversee staff goals, and evaluate performanceFoster a motivating, positive team environment while ensuring adherence to company standards.The Right Fit:A quick learner with strong problem-solving and critical-thinking skills.Passionate about aesthetics and dedicated to exceptional patient careTech-savvy with the ability to master EMR systems, social media, and marketing toolsSales-oriented with a talent for upselling and recommending treatments.Highly organized, detail-oriented, and proactive in anticipating needs.Requirements:5+ years of experience as a Practice Manager in a med spa or plastic surgery officeStrong customer service skills with excellent phone, written, and verbal communicationProfessional, polished appearance and a warm, positive attitudeProficiency in practice operations, social media, marketing, and technologyCompensation & Benefits:$20-25/hour (based on experience) + bonuses based on practice growth3+ weeks of unpaid vacation when the practice closes for Jewish holidays.Hours:Mon, Tues, Thurs: 9:30 AM - 6:00 PMWed: 11:30 AM - 8:00 PMFri: 8:30 AM - 2:00 PM(Includes 30-minute prep time before opening)90-Day Probationary PeriodHow to Apply:Please submit your cover letter, resume, and a 1-minute video explaining why this role excites you.
