With services in tenant representation, capital markets, project management, workforce/incentives, and workplace strategy/occupant experience, we've boosted the potential of workplaces around the corner, and around the world, for 160 years and counting.Savills is seeking an experienced Office Manager to provide routine office and administrative support for our San Francisco corporate office.KEY DUTIES AND RESPONSIBILTIESProvides general hospitality services and oversees and ensures the upkeep and maintenance of the office space.Purchase and order approved equipment, furniture, fixtures, and office suppliesReceives and directs incoming calls and visitors to appropriate personnel. Solves routine issues and escalates accordingly.Provides back-up support in performing general administrative duties for broker teams.Schedules and coordinates meetings held within the office to include conference room reservation, equipment needed for meetings and catering.Orders office supplies and other common use items for the office/location.Maintains relationship with vendors that provide services and goods to the office.Drafts confidential correspondence, edits documents, and performs other administrative and secretarial duties.Reviews incoming correspondence via paper or email, lead initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up.Interface with landlord/building management regarding office lease, rental payments, security measures, and parking facilities. Liaison between building management and employees.Purchase and order approved equipment, furniture, and fixtures.Manage and review vendor contracts for goods and services.Manage regional office moves, expansions, and/or space coordination.QUALIFICATIONSEffectively communicate, interact and collaborate with brokers, staff, vendors and clientsConsistently demonstrate a high level of performance and professionalismAbility to multi-task and meet deadlines in a high-pressure environmentExcellent verbal and written communication skillsExhibit a high level of attention to detailStrong work ethic and positive attitudeAdvanced knowledge of Microsoft Office Suite (i.e. word, excel and power point)Excellent organizational and time management skillsPREFERRED EDUCATION AND EXPERIENCEMinimum 5-7 years of related office experience or administrative managementBachelor's Degree preferred and or equivalent combination of education and experienceCommercial Real Estate experience is a plusSavills values a diverse work environment and is proud to be an equal opportunity employer.
