Position OverviewThe Project Manager for the Engagement Department is a vital role that supports the Marketing and Communications, Event Services, and Business Development Teams. Reporting directly to the VP of Engagement and maintaining a dotted line relationship with the leadership of each of the three teams, this position focuses on enhancing internal processes, improving client and customer services, and driving operational efficiency.The ideal candidate will excel at managing cross-functional projects, fostering collaboration, and implementing streamlined workflows to meet organizational goals. This role is critical in ensuring that internal and external clients receive exceptional service while optimizing departmental operations.Key ResponsibilitiesProject Coordination and Management· Plan, manage, and oversee projects across the Marketing and Communications, Event Services, and Business Development teams.· Define project scopes, objectives, deliverables, and success metrics in collaboration with team leaders and stakeholders.· Develop and maintain detailed project plans, ensuring milestones and deadlines are met.Internal Process Improvement· Analyze current processes across the Engagement Department and identify opportunities for improvement.· Design and implement workflows to enhance efficiency and reduce redundancies across the three teams.· Establish and maintain standard operating procedures (SOPs) to ensure consistency and accountability.Collaboration and Relationship Management· Maintain a strong dotted-line relationship with Marketing, Event Services, and Business Development Teams, ensuring alignment of projects with departmental goals.· Act as a liaison between teams, promoting seamless communication and collaboration.· Support cross-functional initiatives by facilitating resource allocation and task prioritization.Client and Stakeholder Communication· Serve as the primary point of contact for internal and external clients, ensuring their needs and objectives are met.· Provide regular updates to stakeholders on project progress, timelines, and deliverables.· Offer agency-style account management for both internal and external clients, ensuring clear and consistent communication.Performance Tracking and Reporting· Monitor project performance using KPIs and other success metrics, providing actionable insights to stakeholders.· Utilize project management tools to track progress, identify risks, and ensure projects remain on schedule and within scope.· Prepare and present performance reports to the VP of Engagement and team leaders, recommending improvements for future projects.Quality Assurance and Risk Management· Review project deliverables to ensure alignment with quality standards and client expectations.· Identify potential risks and obstacles, implementing proactive solutions to mitigate them.Professional Development· Stay up-to-date with industry trends, best practices, and emerging technologies to enhance departmental operations.· Promote a culture of continuous improvement and innovation across the Engagement Department.RequirementsEducation and Experience· Bachelor's degree in Marketing, Business Administration, Communications, or a related field.· 8-10 years of experience as a Project Manage.· Experience working in a cross-functional, matrixed environment with multiple stakeholders.Skills and Competencies· Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.· Exceptional communication and relationship management abilities.· Proficiency in project management tools (e.g., or similar platforms).· Analytical mindset with strong problem-solving skills.· Knowledge of marketing, event planning, and business development processes is a plus.Certifications· Project Management Professional (PMP) certification or equivalent is a plus.Other Requirements· Self-starter with the ability to work independently and collaboratively in a fast-paced environment.· Physical ability to lift up to 25 pounds, as needed.Persons Supervised· None (Individual Contributor Role)Work Environment· Office setting with flexible schedule options available after six months of employment.
