We are seeking a licensed, detail-oriented and experienced Listing Coordinatorand Executive Assistant to manage a portfolio of listings and support the lead agent in various duties, including scheduling, prospecting, marketing projects. The ideal candidate is hard-working, professional, polite, thrives in a fast-paced environment, and enjoys working with a variety of clients and properties. Due to the ever-changing nature of the real-estate industry, the role requires someone who is able to quickly adapt to changing schedules and priorities, while also anticipating the needs of the lead agent and our clients. Real estate experience and CA real estate license required; proficiency with real estate contracts highly preferred.Key Responsibilities:Listing Coordination:Prepare listing agreements and related documentsMaintain accurate records and reports for all listingsCoordinate with sellers and vendors to prepare homes for sale and manage the escrow processSchedule and attend property photo/video shoots and inspectionsWrite engaging property descriptionsUpdate and manage listings on MLS and other real estate platformsAssist with scheduling and attending showings and open housesCreate marketing materials such as property websites, postcards, flyers, and email blastsProvide weekly updates to sellers on listing activity and marketing effortsAdministrative Duties:Coordinate schedules and confirm appointments for the lead agentMaintain and update CRM and Google DriveAssist with planning and organizing client events and giftsDevelop weekly and monthly content (blogs, newsletters, social media posts)Design listing presentations, invitations, and special projects as neededRun occasional errands as neededRequirements:Active CA real estate license Minimum 1 year of experience in residential real estateExceptional customer service skillsProficiency in Microsoft Office, Mailchimp, MLS, and Google DocsStrong writing and design skills for marketing contentExcellent organizational skills and attention to detailProficiency in InDesign or Canva is a plusAbility to manage multiple tasks in a fast-paced environmentFlexibility for occasional evening or weekend appointmentsReliable transportation for attending property-related appointmentsSocial media, digital marketing, SEO skills are a huge plus
