Job Overview:As an Event Manager, you will serve as the primary point of contact for clients, managing all aspects of their wedding and events from inception to completion. You will work closely with a small, highly collaborative team to deliver seamless, world-class experiences. The ideal candidate has a passion for well designed weddings and milestone celebrations, and is fulfilled by working directly with clients. The Event Manager will be responsible for working closely with Blake Sams and the GBSE team on planning, facilitating and thoughtfully executing multifaceted events, often spanning multiple days. This is a full time role in NYC or Charleston, SC with the expectation for frequent domestic travel for client events. Key Responsibilities:Client Relationship Management:Act as the main point of contact for discerning clients, fostering strong, trusting relationships throughout the event planning process.Ensure that client needs, preferences, and expectations are thoroughly understood and consistently exceeded.Offer personalized consultation and advice on wedding design, vendor selection, and logistical coordination.Maintain all guest communications and assist with destination travel and room blocks as needed.Event Planning & Coordination:Oversee the full event planning process, from initial consultation and design development to vendor management, logistics, and event execution.Collaborate with clients and vendors to ensure that timelines, budgets, and details are meticulously planned and followed.Provide creative input and solutions for unique challenges, ensuring each event is tailored to the client's vision and style.Manage client and guest mailings with proficiency and a high attention to detail.Team Collaboration:Work closely with a small, specialized team to ensure smooth coordination across all areas of the event, including floral design, catering, entertainment, and technical aspects.Foster a positive and efficient team environment, ensuring that all team members are aligned and informed at every stage of the process.Vendor & Venue Management:Identify and manage relationships with top-tier vendors and venues, ensuring that all partners align with the high standards of the company.Negotiate contracts, oversee logistics, and manage communication with vendors throughout the planning and execution of the event.Event Execution & On-Site Management:Supervises and works with the event team, ensuring adherence to the highest level of standards and expectations.Handle last-minute adjustments, troubleshoot issues, and maintain a calm and professional demeanor, ensuring the client's experience is seamless and stress-free.Ensure that the client and their guests have an exceptional experience from start to finish.Qualifications & Skills:Experience:Minimum of 5-7 years of event planning experience, with at least 3 years specializing in weddings or social events.Proven track record of successful event management and client service in the field of hospitality. Skills & Abilities:Exceptional attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously and prioritize effectively.Outstanding communication and interpersonal skills, with the ability to build rapport with clients, vendors, and team members.Strong problem-solving abilities and the capacity to remain calm under pressure.Strong time management and ability to multitask, monitor and manage multiple priorities, and meet timelines.Comfortability overseeing a team of 2-3 team members and a wide bench of event weekend staff, creative vendors and outside partners.Knowledge of wedding trends, high-end vendors, venues, and luxury event standards.Proficiency in event management software, spreadsheets, and basic financial tools for budget management.Personal Attributes:A passion for weddings and luxury events, with a genuine desire to create memorable, personalized experiences for clients.A professional demeanor and ability to navigate high-pressure situations with grace and poise.An innate leadership quality and a team-oriented mindsetAn understanding of luxury, and an appreciation for discretion and confidentiality when dealing with high-profile clients and sensitive information.An ability to work flexible hours, including evenings and weekends, to accommodate event schedules.
