Job Description:The Administrative Coordinator plays a pivotal role in supporting the functioning of our organization by overseeing administrative tasks, coordinating scheduling, and facilitating efficient planning. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple responsibilities concurrently.Roles and ResponsibilitiesAdministration:Maintain and update theadmin calendar, encompassing organizational events, payroll deadlines, team birthdays, interviews, holidays, and other relevant activities.Manage ouradmin email, ensuring proper redirection and timely responses to inquiries regarding applications, interviews, programming, etc. Coordinatehonorariums, gift cards, and other payments, including procuring and submitting requisite forms from vendors or individuals, such as W-9s and ACH transfer forms. Schedule internal and external meetings (both virtually and in-person) ensuring effective coordination among team members and partners.Manage maintenance ofinternal project planning on Asana, ensure all workstreams are up to date and accurate; proactively update as plans change. Maintain and update an events calendar, highlighting relevant community events in team meetings, opportunities to partner, table, or volunteer. Development Support:Correspond with funders and donors and manage follow-up paperwork, including the provision of requested documents and information.Coordinate and schedule calls with funders and community partners. Handle other correspondence as requested, maintaining professionalism and accuracy in all interactions.Travel and Accommodations:Research, arrange, and book travel and accommodations taking into account travel policies and cost-effectiveness.Create comprehensive travel plansfor travelers, considering logistics, budgets, and preferences.Arrange accommodations and airfare,taking into account travel policies and cost-effectiveness.Add confirmed plans to travelers' calendars and provide necessary details for smooth travel experiences.Other: Research,purchase, and maintain miscellaneous items for personal workspaces, the office, merchandise, etc. Support the maintenance ofour office space including restocking snacks, office supplies, etcManage invoicing and travel reimbursements in coordination with the Community Engagement Coordinator for farmer training participants Other administrative support as needed including help with marketing and communications, events, and organizational development.Desired Skills:Exceptional communication, organization, planning, and time managementHigh proficiency with Asana, Google suite, Zoom, Calendly, Canva, Adobe suite, Instagram, LinkedInComfortable working in a fast changing environmentAbility to manage multiple tasks and prioritize effectivelyRole OverviewRole location:Hybrid - Up to two days a week in person - Oakland, CA preferredReports to:Operations and Culture ManagerHours:40 hours/week; flexible hours within a M-F 9am-5pm scheduleCompensation:$68,000 annually Status:Full-time Applying:Please submit your resume and cover letter to info@with the title "Administrative Coordinator Application".
