Job SummaryWe are seeking a highly organized and proactive Office Administrator to manage daily office operations and ensure smooth functioning of the workplace. The ideal candidate will be responsible for handling administrative tasks, providing support to team members, and ensuring a positive and efficient work environment. This position requires strong communication, multitasking, and problem-solving skills.Key ResponsibilitiesOffice ManagementOversee day-to-day office operations, including office supply management, vendor coordination, and ensuring office equipment is in working order.Administrative SupportProvide administrative support to executives, department heads, and other team members, including calendar management, travel arrangements, and correspondence.DocumentationMaintain accurate records, files, and office documentation, ensuring all files are organized and easily accessible.Scheduling & MeetingsCoordinate meetings, appointments, and conferences, ensuring meeting rooms are reserved and necessary resources are available.CommunicationServe as the point of contact for internal and external communications, including answering phones, emails, and greeting visitors.Billing & InvoicingAssist with invoicing, budgeting, and tracking office expenses.Team SupportProvide administrative support to other departments as necessary, helping with projects, event planning, and general tasks.Compliance & SafetyEnsure the office complies with health and safety regulations and internal policies. Maintain a clean and safe working environment for all employees.Problem SolvingAddress any issues or concerns raised by office staff, vendors, or clients, providing efficient solutions.Required Skills and QualificationsProven experience as an office administrator or in a similar role.Strong organizational skills and the ability to multitask in a fast-paced environment.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Knowledge of office management systems and procedures.Ability to handle confidential information with discretion.Strong attention to detail and problem-solving abilities.Time management skills and the ability to prioritize tasks effectively.High school diploma or equivalent; associate's or bachelor's degree preferred.Preferred QualificationsExperience with office accounting and budget management.Familiarity with office software such as Google Workspace, QuickBooks, or project management tools (e.g., Trello, Asana).Knowledge of HR policies or experience in HR administration.
