Position Overview: The Bookkeeping and Administrative Specialist is responsible for accurate bookkeeping and assisting with accounting processes to ensure the organization's financial health and compliance with relevant regulations; Oversee office management and assist with onboarding new employees to include training schedules and other onboarding activities.Key Responsibilities:Bookkeeping:Assist with daily financial transactions, including accounts payable and receivable, payrollMaintain accurate and up-to-date transactions in QuickBooks and Centerbase.Reconcile bank statements, credit card accounts, and other financial accounts.Accounting Support:Assist with preparing monthly, quarterly, and annual firm reportsAccounting and Tax Preparation:Assisting estate administration team with client accountingsAssist attorneys with tax preparation for clients.Compliance and Reporting:Prepare and submit periodic financial reports to management.Assist in audits by providing documentation and clarification as needed.Office Management:Oversee the day-to-day operations of the office to ensure functionality and efficiency.Manage office budgets and track expenses.Administrative Support:Provide administrative assistance to firm administrator as required.Prepare and manage correspondence, reports, and documents.HR and Staff Coordination:Assist with onboarding new employees, including orientation and training.Maintain employee records and ensure compliance with HR policies.Assist with team activities, events, and meetings.Communication and Coordination:Act as a point of contact for internal and external clients.Develop and implement office procedures to improve efficiency.Qualifications and Skills:Proven experience as a Bookkeeper, Accounting Specialist, or similar role.Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.Understanding of accounting principles and budgeting processes.Excellent organizational and time-management skills.High attention to detail and accuracy.Strong problem-solving and analytical skills.Education and Experience Requirements:High school diploma or equivalent (required).Associate's or bachelor's degree in Accounting, Finance, or a related field (preferred).2+ years of experience in bookkeeping or accounting roles.Benefits:401(k)401(k) matchingDental insuranceHealth insuranceLife insurancePaid time offVision insurance
