Executive AssistantAbout the Role:We are seeking a highly organized, proactive, and versatile Executive Assistant to support the CEO of a dynamic group of companies, including DealerFLEX, ParkOps, and other entrepreneurial ventures. This position plays a critical role in ensuring the CEO's professional and personal responsibilities are managed seamlessly. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational and communication skills, and has a passion for supporting executive leadership.This position is full-time out of our spacious Voorhees, NJ corporate office. This position is benefits eligible with opportunities for growth.Key Responsibilities:Calendar Management:Oversee and manage the CEO's complex calendar, including scheduling professional and personal appointments, coordinating meetings, and ensuring efficient time management.Meeting Support:Prepare agendas, attend meetings, take detailed notes, and track action items. Follow up with stakeholders to ensure deadlines are met.Communication:Act as the primary point of contact for internal and external communications, screening emails, drafting correspondence, and managing phone calls.Travel Coordination:Arrange travel itineraries, accommodations, and transportation for the CEO and, when needed, for other team members.Personal Assistance:Manage personal tasks and errands as needed, ensuring the CEO's day-to-day life runs smoothly.Project Coordination:Assist the CEO with various projects across multiple businesses, ensuring progress is tracked and deliverables are completed.Standard Operating Procedures (SOPs):Lead project management efforts to develop and document Standard Operating Procedures (SOPs) to streamline processes and ensure consistency across the CEO's companies.Social Media and Marketing Support:Assist with social media marketing efforts, including content creation, scheduling, and monitoring. Support paid search campaigns and other marketing initiatives.Administrative Tasks:Maintain organized files and records, handle expense reports, and order supplies.Qualifications:Experience:At least two years of experience as an Executive Assistant or in a similar role supporting senior leadership.Familiarity with social media marketing and paid search campaigns is a plus.Skills:Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.Strong organizational and multitasking abilities with a keen eye for detail.Attributes:A proactive problem-solver with the ability to anticipate needs and take initiative.Maintains a high level of discretion and confidentiality.Adaptable to changing priorities and able to manage multiple tasks simultaneously.Why Join Us?This is an exciting opportunity to work closely with a driven and innovative CEO while gaining exposure to a variety of industries, including automotive hospitality, parking operations, and Information Technology.
