Looking forward to connecting with a qualified candidate to discuss this role in more detail!Position:Sales CoordinatorReporting to:Director of SalesSummary of Position: Provides organizational support to the sales team required to enhance the efforts of the departments and overall goals of the hotels. Primarily assist the Leisure, Group and Corporate Sales Directors/Managers.Primary Functions:· Supporting the sales team in in administrative duties and sales activities and coordination of photo shoots + promotional events.· To serve as a Gansevoort Hotel Group Brand Ambassador and maintain integrity of brand standards and goals.· To uphold and comply with Gansevoort Standards, Coyle Standards and Gansevoort Core Values at all times.· Creative:o Support development of all creative deliverables and timelines to ensure work is finished, delivered and completed on time.o Support management of all creative assets and collateral for hotel group. Serve as main point of contact for sales team and other internal teams creative requests.o Organize internal photo shoots & provide creative direction in conjunction with Art Directoro Liaise regarding necessary print materials with the Digital Department as requested· Sales:o Composition of weekly, monthly and annual reports to include but not limited to; arrivals, production, and competitive analysis.o Distribution of daily arrivals list to Sales team. Review daily arrivals for potential opportunities and send qualified leads to appropriate manager or director for follow up.o Ensuring travel shipments have been sent by coordinator and prepared 2 weeks prior to travel for domestic and 3 weeks prior to international.o Site tour preparation and follow up per SOP.o Post sales trip follow up responsibilities including but not limited to appropriate "thank you" , ROI analysis traces in coordinator outlook calendar and completion of ROI analysis report due three months after travel.o Organization and documentation of Sales Contacts.o Compile documents and collateral necessary for managers' sales efforts.o Maintain client files and lead files.o Special projects as requested by manager related to VIP Client visits or events, promotional preparation, special event preparation, account analysis or other Sales related projects as directed.o Qualify telephone, email and verbal inquiries for proper Sales team deployment.o Management and organization of Sales Manager's/Director's Outlook Calendar and appointment scheduling.o Responsible for data entry, including, but not limited to guest profiles as well as Opera PMS entries.o Handle and communicates VIP reservations and amenities as requested by sales directors or managers.o Responsible for weekly Sales/Events Department payroll completion and submission.o Daily web check of RFP sites, Tour Connection, etc.o Monthly Hotelligence Analysis report due weekly for the Sales Meetingo Preparing managers travel (air, hotel, car, shipment, appointment, catering, etc.) in advance of travel.o Ensuring travel shipments have been sent by coordinator and prepared 2 weeks prior to travel for domestic and 3 weeks for international.o Coordination of sales telephone coverage ensuring at least one Coordinator (Sales, Events, Group) is covering the telephone during business hours at all times.o Responsible to clock in & out upon daily arrival and departure of the hotel including lunch breaks. When shift is assigned at a certain property, must stay at that property for the entire duration of the shift. Travel between properties throughout the day must be pre-approved by HR.o Group Rooming lists, blocks, invoices.Required Skills/Qualifications:· Previous Hotel Sales and Marketing experience preferred.· Business letter writing and organizational skills.· Telephone skills, letter compositions, appointment scheduling, filing and accountability for numeric calculations are paramount.· Refinement of all computer skills not limited but to include Microsoft Office applications; Word, Excel, Outlook, PowerPoint and Opera PMS.· Confidentiality relative to all aspects of our business.· Flexible schedule.· Multi-lingual skills highly desirable.· Ability to compute rate, ratio and percentages.· Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions.· Ability to work independently.· Ability to type a minimum of 50 words per minute.· Must maintain a cooperative, approachable team-oriented attitude.· Knowledge of Opera PMS /Sales & Catering· To be financially aware and aim to strive for a successful profitable business.· To report for duty punctually following the Gansevoort Attendance and Punctuality Policy.· To maintain a good rapport and working relationship with all staff.· To handle guest and employee inquiries in a courteous and efficient manner and report guest complaints or problems to supervisors or manager on duty at all times.· To provide and maintain the highest possible service standards to our clientele at all times.· To never be under the influence of drugs or alcohol when on duty.· Never to communicate to any members of the press with regard to Gansevoort Hotel Group, it's clientele and the owners of the hotel.· High School Diploma or equivalent; Bachelor Degree in Hospitality or other business related degree preferred.· Must be able to communicate proficiently in the English language, both written and verbally.· Able to attend events and relevant trade shows or meetings as needed.Physical Requirements:· Must be able to work stationary at least 8 hours per day and/or standing for 8 to 10 hour to conduct trade shows.· Must be able to speak and hear clearly to communicate with potential guests and clients.· Must be able to pull, lift, or move packages at least 40 pounds of force.· Must be able to move inside the office to make copies and send faxes.· Must be able to reach and handle the computer, keys, paper and items on the top of the desk.· Must have depth perception and balance, for overall performance and be able to work with computers.Salary Disclaimer Clause:The salary range posted for this position is provided in good faith at the time of the job opportunity posting.
