About the Company - Well established General Contractor & Design Build Firm to remain confidential at time of application. Will discuss upon initial interview. This position is an in-office role in San Clemente, CA.About the Role This role provides support, working closely with the Estimator, Project Managers, Business Development and Marketing departments in preparing RFP Packages for work we are actively bidding. This individual will be required to collaborate with the project team along with Architects, Engineers, Owners, Subcontractors to ensure information is complete and accurate. This position is ultimately responsible for soliciting and gathering bid quotations from subcontractors as well as monitoring and managing trade partner relationships to ensure consistent bid participation and coverage. This person will have a positive and self-motivated mentality, will be adaptable, versatile, willing to learn, and wants to grow with the company, an innovative collaborator with a passion to succeed!Responsibilities Direct and handle RFP responsibilities workflow from day one through bid submission.Complete RFP checklist and get sign off from ownership for every project.Actively reach out and grow subcontractor base through constant outreach and networking.Create and maintain electronic job folders for all projects in preconstruction and bidding phase.Download project documents to electronic folder. Organize, breakout and label all project documents.Review documents to ensure all drawings, specifications and reports are contained within the bid package.Upload and manage project documents into our online bid management platform (Building Connected). Send out Invitations to Bid, Addendums, and manage any other project correspondences to Subcontractors.Make phone calls to subcontractors and record which companies will be sending us their proposals. Proactively follow-up with subcontractors until we receive their proposal for each project.Assist with qualifying subcontractor proposals.Qualify subcontractors based on scope of work (i.e. OSHPD 1 projects should only have qualified bidders that can show recent project work on similar projects and are competent and qualified for the project requirements).Identify and input new subcontractors into our database.Build and maintain relationships with local subcontractors.Help staff prepare bid forms and bid packages to send to Clients.Develop project specific logistics plans.Develop project specific schedules.Help research and determine job specific requirements & fees (i.e., landlord and/or City requirements).Manage RFI's from Subcontractors: Set-up of RFI file for each project & Input RFI's to respective project.Assist Estimating Department as needed and when time allows.Schedule and attend RFP meetings and job walks with clients and vendors.Provide notes, photos, project specific information based on job walks to company and vendors.Qualifications Required Skills -Understanding of what trades are associated with the CSI format and solicit bids.Ability to read construction plans.Highly effective organizational skills.Familiarity with programs such as Building Connected Microsoft Excel, Word, Outlook, Project, and PDF editors/readers.Knowledge of Building Connected software is a plus but not required.Must be comfortable talking on the phone. This position will spend appx. 40-50% of its time on the phone talking to subcontractors and vendors.Ability to work independently as well as thrive in a fast-paced, dynamic environment.Must be eager to learn. Not afraid to ask questions.Professional with attention to detailAbility to carry out written or oral instructions.Drive for extremely high standards and attention to detail.Understanding of excellent customer service.Make decisions and act with the company's best interest in mind.Work well in a team environment towards accomplishing a shared goal.
