Executive AssistantTri-Pac, Inc., a contract development and manufacturing company (CDMO) specializing in liquid and aerosol filling for personal care and pharmaceutical marketers, is seeking an experienced Executive Assistant for immediate addition to our fast-growing team. The position is in South Bend, Indiana.The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations. Executive Administrative Assistant DutiesHandle all administrative tasks associated with the Senior ManagementManage high volume email and prioritize items that require immediate attention.Review and prepare all matters that require Directors' review and approval.Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.Compile, transcribe, and distribute minutes of meetings.Create complex and detailed reports ensuring accuracy.Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.Prioritize incoming issues while maintaining strict confidentiality.Perform general office systems such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.Ensure information is available to support decision making.Develop and maintain strong working relationships with internal and external stakeholders.Greet visitors and determine whether they should be given access to specific individuals.Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.Submit Expense reportsSpecial projectsOther duties as assigned.RequirementsBachelor's degree required in Business Administration, Accounting or Science7 years of executive administrative experience in a corporate environmentLegal knowledge for compliance in NDA's.Must have experience supporting the senior leadership team.Ability to work independently or as part of a team with minimal supervision.Must be able to work in a fast-paced dynamic environment.Excellent organizational and interpersonal skillsExcellent time management skills and ability to prioritize multiple projects.Proficient in Microsoft Office and SAP system.ResponsibilitiesCalendar management for executivesAid executive in preparing for meetingsResponding to emails and document requests on behalf of executivesDraft slides, meeting notes and documents for executivesQualificationsBachelor's degree or equivalent experienceProficient in Microsoft Office suiteExperience in managing multiple priorities, administrative coordination, and logisticsWell-organized, detail-oriented, ability to multi-task with great follow-up skillsStrong written and verbal communication skills
