Executive Assistant / Office Administrator (Hybrid) - UHNW Family Office, Pompano Beach - $100k- $125k + BAn UHNW family office located in Pompano Beach is seeking an Executive Assistant / Office Administrator to support the family office team. This dynamic role is critical in supporting the CAO, CFO, and Principal in managing various aspects of the office's operations. The ideal candidate will exhibit exceptional organizational abilities, a proactive mindset, and the discretion required in working within a high-profile environment.This is a new role within the organization, offering an opportunity to shape processes and contribute to the efficient functioning of a growing organization.This position offers quality of life hours (9a-5p-ish) and the flexibility to work from home on Fridays.Responsibilities:Executive and Personal Assistance:Act as Executive Assistant and Personal Assistant to the CAO, CFO and Principal (Liz).Manage and maintain calendars, scheduling meetings, and coordinating appointments.Serve as the first point of contact for external calls, inquiries, and stakeholders, ensuring professional communication.Coordinate travel arrangements, including flights, accommodations, and itineraries.Handle correspondence such as emails, calls, and messages on behalf of executives.Organize and maintain office and personal files, including insurance and benefits documents.Oversee and maintain the office library and archives.Support philanthropic activities, including the administration of foundations and charitable initiatives.Administrative Management:Assist in maintaining smooth office operations and handling day-to-day administrative tasks.Liaise with external stakeholders, including vendors, consultants, and other professionals.Ensure the timely and organized flow of information and documentation.Assist in office management when necessaryProject Management:Oversee and manage special projects as assigned by executives, ensuring timely delivery and attention to detail.Track progress, prepare reports, and coordinate with relevant parties to meet project goals.Key Attributes and Qualifications:Attributes:Unpretentious and adaptable: Willing to handle tasks at all levels with no job being too big or small.Professional demeanor: Strong interpersonal skills with the ability to interact effectively with executives and external stakeholders.Excellent communication skills: Superior verbal and written communication abilities.Attention to detail: High level of accuracy in managing tasks, files, and correspondence.Proactive and self-motivated: Able to anticipate needs, prioritize responsibilities, and take initiative.Qualifications:Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting high-level executives and ideally a lean office setting.Strong proficiency in office software (Microsoft Office Suite, email platforms, and calendar tools).Familiarity with managing sensitive information and maintaining confidentiality.Experience in a family office environment or with philanthropic organizations is a plus.Bachelor's degree preferred but not required; equivalent professional experience will be consideredBase Salary: $100k- $125k plus bonus, 401k (with match) and additional benefits/perks.The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.If this particular role isn't the ideal fit, please feel free to forward your resume to the email above to explore other available opportunities.
