We are looking for an exceptional individual to join our team as an Executive Assistant to the Chief Operating Officer. This role is designed for a proactive, self-motivated professional eager to contribute both to day-to-day administrative tasks and special project initiatives. The ideal candidate will possess strong problem-solving and critical thinking abilities, thrive in a fast-paced environment, and support the growth of an evolving and dynamic team. This position is based in New York City.Key Responsibilities:Manage the COO's calendar, scheduling internal and external meetingsServe as a liaison between the executive team and key stakeholders, including clients, investors, partners, board members, and department headsPrepare and organize materials for meetings, create and edit presentations, spreadsheets, and other documents as requiredCollaborate with assistants across the company to manage logistics for meetings, projects, and special assignmentsTrack project progress and KPIs, acting as the go-between for the COO and the Operations teamCoordinate business travel, including itinerary creation and travel arrangementsHandle expense reports and process vendor invoices when necessarySupport both individual and team-driven special projectsAssist with ad-hoc requests related to job duties and personal tasksIdeal Candidate Profile:Quick thinker and learner, able to navigate a fast-paced, rapidly changing environmentStrong ability to manage multiple tasks, meet deadlines, and take ownership of responsibilitiesCollaborative mindset with the ability to work effectively with a diverse team; experience in people and light project management is a plusFlexible, adaptable, and eager to learn with a willingness to accept and apply constructive feedbackHighly detail-oriented with excellent time management and organizational abilitiesDemonstrates professionalism, integrity, discretion, and confidentialityAnticipates the needs of executives, teams, and the organizationTech-savvy and resourceful in problem-solvingProactive, positive, and energetic with a "can-do" attitudeOutstanding written and verbal communication skillsProficiency in Microsoft Office Suite, including ExcelQualifications:Minimum 4 years of experience supporting senior executives, ideally in the finance or investment sectorsExperience in a high-paced, C-level support role preferredBachelor's degree is a plus but not required
